About the Role:
A Mortgage Broking Administrator (MBA) is responsible for:
- Providing administrative support to Mortgage Consultants to ensure loan applications are processed accurately, timely, and in compliance with regulatory and licensee requirements.
- Coordinating communication and interactions with lenders, clients, and onshore personnel to follow up on requirements, resolve queries, and progress loan applications.
- Collating and managing all applicant documentation, including NCCP forms, supporting documents, serviceability calculators, and compliance records.
- Entering and maintaining client information in CRM and mortgage software (e.g., FLEX), ensuring records are complete and up to date.
- Ordering property valuations, preparing loan lodgements, performing data validations, and flagging potential fraudulent items.
- Supporting post-settlement activities and assisting with compliance and quality assurance checks
- Contributing to process improvements and efficiency, identifying opportunities to streamline administrative workflows and enhance client experience.
Pre-Requisite Skills:
- Attention to Detail & Accuracy – Ensures client records, loan documentation, and workflows are accurate and complete.
- Administrative & Technical Competence – Proficient in mortgage software, CRM systems, and Microsoft Office (Word, Excel, Outlook).
- Regulatory & Compliance Awareness – Knowledge of ASIC, National Consumer Credit Protection (NCCP) Act, licensee policies, and privacy obligations; able to follow compliance checklists and audit procedures.
- Workflow & Task Management – Ability to prioritise tasks, track deadlines, and manage service levels and regulatory timeframes.
- Communication & Liaison Skills – Professional communication with clients, lenders, and onshore authorised personnel on administrative matters.
- Analytical & Problem-Solving Skills – Identifies errors, gaps, or process inefficiencies and escalates or suggests solutions appropriately.
- Organisational & Teamwork Skills – Ability to work collaboratively, follow supervision, adapt to process changes, and manage multiple tasks efficiently.
Qualifications:
- Previous experience in mortgage broking, home lending, or financial services administration is a plus.
- For Graduates: Must hold a bachelor’s degree in a relevant field (e.g., Finance, Business, Accounting, or related discipline).
- For Non-Degree Holders: Must have a minimum of 5 years of relevant work experience in financial services, mortgage administration, or a related area.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with CRM or mortgage software (e.g., Mercury, ApplyOnline, Loanapp, Broker Engine) is advantageous.
