Job summary

Makati Life Nurture Medical Center Inc. is seeking a Medical Affairs Officer to provide administrative, operational, and coordination support to the Office of the Medical Director, with a primary focus on physician management and medical staff administration.

You will liaise with the Medical Director, physicians, clinical departments, HR, Finance, Payroll, and other hospital units to ensure timely recruitment, onboarding, credentialing, scheduling, and payroll coordination, while maintaining

Qualifications

  • Bachelor’s degree in Healthcare Administration, Hospital Administration, Business Administration, Nursing, or related field.
  • 2–3 years of relevant hospital administration or medical affairs experience.
  • Experience working with physicians and clinical departments is highly preferred.

Responsibilities

  • Coordinate physician manpower requirements and assist in recruitment and sourcing of qualified physicians
  • Coordinate physician interviews, onboarding, and monitor pre-employment and hospital requirements
  • Manage physician contracts, renewals, and maintain physician database
  • Prepare and monitor physician schedules, duty assignments, and decking; coordinate with departments on availability
  • Consolidate attendance and payroll-related documents; assist payroll coordination
  • Coordinate with Finance and Payroll for timely physician payments
  • Assist in processing licenses, credentials, and hospital privileges; maintain credentialing records
  • Serve as liaison between Medical Director, physicians, and departments; facilitate communication
  • Prepare reports, trackers, dashboards, and presentations for the Office of the Medical Director
  • Provide day-to-day administrative support and support special projects

Job description

The Medical Affairs Officer provides administrative, operational, and coordination support to the Office of the Medical Director, with a primary focus on physician management, medical staff administration, clinical coordination, and physician-related operations. The role serves as a key liaison between the Medical Director, physicians, clinical departments, Human Resources, Finance, Payroll, and other hospital units. The position ensures the timely and efficient execution of physician-related processes, including physician recruitment and onboarding, scheduling and decking, credentialing, attendance monitoring, professional fee and payroll coordination, medical staff activities, and clinical administrative requirements.

Key responsibilities
  • Coordinate with the Medical Director, clinical department heads, on physician manpower requirements and assist in recruitment and sourcing of qualified physicians

  • Coordinate physician interviews, meetings, assessments, and other recruitment activities; facilitate onboarding and monitor completion of pre-employment and hospital requirements

  • Coordinate physician contracts, engagement documents, renewals, and maintain an updated database of active, affiliated, prospective, and inactive physicians

  • Prepare, maintain, and monitor physician schedules, duty assignments, and decking; coordinate with physicians and clinical department heads regarding availability, leave, and schedule changes

  • Consolidate and validate physician attendance, duty records, schedules, and services rendered; prepare and monitor documents required for physician payroll and professional fees

  • Coordinate with Finance and Payroll to ensure accurate and timely processing of physician payments and address physician inquiries regarding payment status

  • Assist in processing and monitoring physician licenses, credentials, certificates, accreditations, and hospital privileges; maintain updated credentialing records and monitor expiration dates

  • Serve as an administrative liaison between the Medical Director, physicians, and clinical departments; coordinate with clinical units and facilitate communication regarding physician-related concerns

  • Prepare regular reports, trackers, dashboards, and presentations for the Office of the Medical Director; maintain accurate and organized physician and medical staff records

  • Provide day-to-day administrative support to the Office of the Medical Director, manage requests and deliverables, and support special projects and initiatives

About you
  • Bachelor's degree in Healthcare Administration, Hospital Administration, Business Administration, Nursing, or a related field

  • At least 2-3 years of relevant experience in hospital administration, medical affairs, physician relations, healthcare operations, or a similar role

  • Experience working directly with physicians and clinical departments is highly preferred

  • Strong understanding of hospital workflows and clinical administrative processes

  • Excellent organizational and time-management skills

  • Strong attention to detail, particularly in handling physician schedules, compensation, and documentation

  • Excellent communication and interpersonal skills and ability to establish professional relationships with physicians, clinical leaders, and hospital executives

  • Proficient in Microsoft Office, particularly Excel and PowerPoint, and Google Workspace

  • Able to work independently, manage multiple priorities, and meet deadlines in a fast-paced hospital environment

  • High level of integrity, professionalism, and discretion in handling confidential information
