Job summary

neXus Point Pictures is seeking an Operations Specialist to support multi-brand marketing programs across direct mail, digital, and social channels. You will manage calendars, coordinate campaigns, and ensure accurate, compliant deliverables with AI-assisted workflows.

The role requires strong organization, advanced spreadsheet skills, and proactive communication to keep projects on schedule. Experience with CRM and marketing tools is a plus, in a fast-paced environment.

Qualifications

  • 3+ years of experience managing social media for a business or personal brand.

Responsibilities

  • Maintain the master campaign calendar, trackers, deadlines, dependencies, approvals, handoffs, and closeout documentation.
  • Coordinate approved direct mail, email, newsletter, outbound, digital, social media, and review-response initiatives across brands.
  • Prepare weekly status updates, escape blockers early, and confirm deliverables are complete and properly archived.
  • Quality-check Salesforce/property-level and vendor files; identify duplicates, missing values, inconsistencies, and anomalies before release.
  • Track weekly, monthly, month-over-month, and year-over-year KPIs; reconcile sources and summarize what changed and the recommended follow-up.
  • Coordinate campaign testing initiatives including A/B testing of creative, audiences, and messaging; summarize results and recommendations.
  • Monitor and coordinate online review responses, reputation management, and local business listings across brands.
  • Maintain file structures, digital binders, tracking numbers, email signatures, employee photos, inventory logs, vendor contacts, and compliance archives.
  • Support CRM, email-marketing, project-management, content/design, and reporting tools; document repeatable SOPs and checklists.
  • Follow access, confidentiality, retention, information-security, and AI-use requirements; never use unauthorized systems for company data.

Job description

Primary Goal

Client First National Holdings, LLC is a real estate-secured lender specializing in Texas and Nevada property tax loans and commercial loans. We are a multi-brand organization whose primary consumer brands include Hunter-Kelsey of Texas and Propel Financial Services (Propel Tax). Founded in 2005, FNH is the largest property tax lender in Texas and has made more than 100,000 loans. Reporting to the Director of Marketing / IS, this role is the execution engine for FNH's multi-brand marketing program across Hunter-Kelsey, Propel, Geos, ReTax, Nevada, Propel Real Estate Capital, and Stronghill Texas. It partners with management, Sales, Operations, Compliance, Technology, and external vendors to:

  • execute approved campaigns accurately, on schedule, and within budget
  • maintain clean, auditable campaign data, approvals, files, and compliance records
  • coordinate direct mail, digital, content, web, vendor, and event workflows
  • report clearly on what launched, what happened, and what needs attention

The successful candidate is highly organized, detail-obsessed, and able to turn clear direction into accurate deliverables with limited follow-up. Strong English, advanced spreadsheet skills, secure data handling, and practical use of approved AI tools are essential.

Key Responsibilities
  • Maintain the master campaign calendar, trackers, deadlines, dependencies, approvals, handoffs, and closeout documentation.
  • Coordinate approved direct mail, email, newsletter, outbound, digital, social media, and review-response initiatives across brands.
  • Prepare weekly status updates, escape blockers early, and confirm deliverables are complete and properly archived.
Direct mail, data preparation & vendor coordination (1 million+ pieces annually)
  • Support campaigns from list acquisition through mail drop, invoice reconciliation, and performance closeout.
  • Build and maintain audience segments using approved targeting criteria; normalize, suppress, de-duplicate, group, and validate large datasets prior to campaign execution.
  • Coordinate proofs, production, mailhouse schedules, postage, inventory, drop dates, invoices, and a complete digital campaign binder.
  • Ensure all print assets meet branding, USPS, regulatory, and production specifications prior to release.
Marketing content, creative support & brand execution (multi-brand consistency)
  • Create and adapt approved letters, emails, brochures, postcards, inserts, envelopes, presentations, social content, and internal assets.
  • Maintain each brand's voice and positioning; proof copy, facts, formatting, links, phone numbers, disclosures, and contact details.
  • Use approved AI tools for first drafts and quality checks, validate outputs, and retain required approval and version records.
  • Coordinate website and landing-page updates; test links, forms, tracking numbers, and user experience before and after release.
Campaign data, analytics & quality control (data-to-action)
  • Maintain a marketing "single source of truth" for audience files, campaign history, suppressions, costs, response, attribution, conversion, and ROI.
  • Quality-check Salesforce/property-level and vendor files; identify duplicates, missing values, inconsistencies, and anomalies before release.
  • Track weekly, monthly, month-over-month, and year-over-year KPIs; reconcile sources and summarize what changed and the recommended follow-up.
  • Coordinate campaign testing initiatives including A/B testing of creative, audiences, and messaging; summarize results and recommendations.

  • Participate in weekly marketing meetings; prepare agendas, status trackers, action items, and follow-up documentation.
  • Coordinate with management, internal teams, and vendors; communicate progress, risks, and decisions needed.
  • Support conferences, promotional inventory, lead lists, post-event follow-up, recurring administration, and special projects.
Experience
  • 3+ years of experience managing social media for a business or personal brand.
  • Strong understanding of Instagram and TikTok algorithms and content trends.
  • Proven ability to identify viral and high-converting content opportunities.
  • Excellent scriptwriting, copywriting, and storytelling skills.
  • Basic video editing experience using CapCut, Adobe Premiere Pro, Final Cut Pro, or similar tools.
  • Experience using AI tools such as ChatGPT, Claude, or Gemini for content creation.
  • Strong organizational, communication, and time management skills.
  • Self-motivated, proactive, and results-oriented.
Additional Tools (Nice to Have)
  • Experience in financial services, secured real estate lending, property tax lending, fintech, or regulated B2B marketing.
  • High-volume direct-mail experience with list vendors, printers, or mailhouses.
  • Experience with Salesforce, WordPress, Mailchimp/HubSpot, Power BI, Canva/Adobe, or Asana/Monday/Smartsheet.
  • Basic SQL, marketing attribution, data visualization, or AI-enabled operations experience.
