Job summary

HelloConnect is seeking a detail-oriented Order Management Specialist in Manila to own the daily end-to-end processing of customer orders, from file preparation to system upload and final confirmation. You will combine order management, logistics coordination, and operational reporting to drive accuracy and on-time delivery.

The ideal candidate is highly analytical, able to identify discrepancies, manage exceptions, and translate data-driven insights into improvements.

Qualifications

• 2 years professional experience in fulfillment, logistics, supply chain, e-commerce, data operations, or a related field.
• Strong analytical and problem-solving skills with data-driven insights.
• Advanced proficiency in Microsoft Excel or Google Sheets with lookups, pivot tables, formulas.
• Excellent data interpretation and attention to detail.
• Strong written and verbal communication skills and ability to work cross-functionally.
• Ability to identify discrepancies, investigate root causes, and translate findings into actions.
• Willingness to learn and adapt to new tools and processes.
• Customer-focused mindset with emphasis on operational accuracy and continuous improvement.

Responsibilities

• Coordinate daily order processing and fulfillment, ensuring accuracy and timelines.
• Review, validate, and maintain order data for completeness and alignment with requirements.
• Manage order updates, inventory exceptions, and fulfillment changes with proper documentation.
• Analyze operational data to identify discrepancies, trends, and improvement opportunities.
• Maintain trackers and reports with clear summaries for team visibility.
• Collaborate with internal teams and external partners to resolve order-related issues.
• Monitor progress and deadlines, identifying delays or risks and taking action.
• Communicate risks, delays, discrepancies, and unresolved issues to stakeholders.
• Maintain up-to-date process documentation and resources.
• Identify opportunities to improve accuracy, efficiency, and automation.
• Support data-driven and operational projects as needed.
