Job summary

VAP is seeking a confident Sales Admin Assistant to support Sales Consultants by managing and progressing customer applications through the sales pipeline. You’ll engage with leads, encourage application completion, assess submissions against credit policies, and maintain accurate records while delivering excellent customer service and meeting team targets.

Qualifications

• Experience in financial lending, sales, or customer service.
• Experience in sales administration, application processing, or data entry within a financial lending environment is highly regarded.
• Familiarity with lending processes, credit policies, and application requirements.
• Experience using CRM platforms, loan origination systems (LOS), or other financial systems.
• Strong communication skills and confidence speaking with customers over the phone and through email.
• Excellent customer service skills, with the ability to build rapport and handle customer enquiries professionally.
• Strong organisational and time management skills, with the ability to manage multiple applications and competing priorities.
• Accurate administration, data entry, and record-management skills.
• Familiarity with regulatory requirements and compliance frameworks is an advantage.
• Able to work independently in a fast-paced environment while remaining resilient under pressure.
• Motivated to achieve sales targets, KPIs, and team goals.

Responsibilities

• Contact prospective customers through phone, email, or text to convert leads into applications.
• Follow up with applicants to obtain outstanding loan documentation and information.
• Manage a portfolio of customer applications and progress them through the sales pipeline in line with the company's sales process.
• Assess customer applications against established credit policies.
• Communicate with applicants professionally and provide updates or assistance throughout the application process.
• Issue standard correspondence requesting additional information or documentation when authorised.
• Escalate complex, sensitive, vulnerable customer, or complaint-related matters to the appropriate team.
• Receive, review, and enter incoming applications and supporting documentation into the Loan Origination System (LOS).
• Accurately upload and record document attachments, supporting information, and correspondence within the LOS.
• Maintain accurate application records and manage workflows within shared group mailboxes.
• Follow current lending legislation, credit policies, and regulatory compliance requirements.
• Maintain proper documentation and audit trails of application activities and actions.
• Protect customer privacy and confidentiality when handling personal and financial information.
• Apply identity verification and information security requirements when communicating with customers.
• Liaise with Sales and Credit teams to support application processing and resolve outstanding requirements.
• Participate in team meetings and work towards daily and weekly team goals.
• Identify and contribute to improvements in team processes, systems, and procedures.
• Deliver excellent customer service while achieving weekly and monthly targets and KPIs.
• Support business initiatives and strategic priorities, contribute to a positive team culture, and perform other duties as directed by management.
