Job summary

Institutional Shareholder Services Philippines is seeking a Voting Operations Associate to handle vote instructions from clients to local sub custodians, manage supporting paperwork, and respond to inquiries. You will use internal apps GPD Manager and DIG to track daily workload and help ensure accurate delivery of instructions.

Ideal candidates have a bachelor’s degree, strong communication, excellent attention to detail, and the ability to multitask in a fast-paced environment.

Qualifications

• Bachelor’s degree in Business, Finance, Economics, or related field.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite.
• Ability to manage multiple priorities and meet tight deadlines.
• Strong attention to detail, organizational, problem-solving, and multitasking skills.
• Proactive, adaptable, and team-oriented mindset.
• Knowledge of corporate governance, corporate transactions, and capital markets is an advantage.

Responsibilities

• Process vote instructions from GPD bank clients to local market sub custodians via SWIFT, fax, email, or online voting.
• Complete supporting paperwork such as proxy cards and power of attorney.
• Assist account managers with incoming client inquiries.
• Coordinate with sub custodians on rejected vote instructions and special meeting requirements.
• Maintain sub-custodians’ contact details, SWIFT addresses, and instruction delivery preferences.
• Manage daily workload using internal applications GPD Manager and DIG.
• Review automated reports auditing Ballot Generation and Vote Execution processes.
• Contribute ideas to improve efficiency and processes.
• Perform other assigned duties.

• Maintaining sub-custodians’ contact details, SWIFT addresses, and instruction delivery preferences.

Compensation & Benefits

• Early shift schedule: 6:30 AM to 3:30 PM at Solaris One Building, Makati office.
• Flexible working schedule as business requires.
• Five-day in-office work during training period, with possible hybrid setup afterward.
• Overtime work on Philippine holidays and weekends as needed.
