You will play a key role in managing financial operations for multiple clients, including bookkeeping, payroll, and tax preparation. You will work closely with a CPA and contribute to a growing firm.

Qualifications and Requirements
- Minimum 5 years of experience performing bank reconciliations, account analysis, payroll, and issuing financial reports on behalf of a Certified Public Accounting firm
- Bachelor’s degree in accounting or a related field
- Solid understanding of accounting principles (GAAP)
- QuickBooks Online ProAdvisor Certification (or complete within 30 days of hire), with hands‑on experience running payroll in Gusto
- Hands‑on experience preparing returns in CCH Axcess Tax (Pro)
- Resourceful with AI tools, comfortable using Claude (or similar) to accelerate analysis, draft client communications, summarize documents, and streamline repetitive workflows
- Highly responsive to CPA and client requests
- Self‑starter able to work autonomously without constant supervision
- Strong technical skills and great attention to detail

Key Responsibilities
- Managing, categorizing, and reconciling financial transactions for multiple clients in QuickBooks Online
- Preparing financial statements, running payroll through Gusto, closing out the month, and delivering statements by the 5th of the following month
- Managing the process of preparing, communicating, and completing U.S. tax returns in CCH Axcess Pro and assisting the CPA
- Communicating with the CPA to understand and serve client needs
- Creating and tracking client invoicing when appropriate
- Leveraging AI tools (e.g., Claude) to accelerate analysis, document review, and client‑facing drafts
Key Performance Indicators
- Timely Financial Statements (20%)
- Percentage of financial statements delivered to clients by the 5th–10th business day of the following month
- YTD vs. prior YTD with % comparison from prior period
- Balance sheet (verified reconciled)
- Current month P&L
- Client Communication Score (20%)
- Respond to requests as quickly as possible, no later than 4 hours (or within first hour after weekend)
- Managing Information Process (30%)
- Follow Wealthbox workflow
- Wealthbox task completion rate evaluated weekly
- Ensure documents and tax projections are filed immediately with CFP
- Send client kickoff emails and update questionnaires
- Use last year’s return as a baseline for tax projections or preparation
- Weekly audit of each client file during tax season and email missing information, cc’ing team members
- Reliability (15%)
- Work hours 8:00 AM–4:00 PM PST
- Provide 1 week advance notice for schedule changes
- Provide 2 weeks advance notice for PTO
- Quarterly Estimate Reminders (10%)
- Send tax reminders at the start of each quarter
- Confirm with outside providers on quarterly payments for designated clients
- Assistance with Tax Projections (10%)
- Upload all 1040s to HolisticPlan
- Review year‑end business returns
- Estimate yearly revenue change
- Enter data in CCH Axcess Pro for personal tax clients with accuracy
- IRS and State/Local Correspondence
- Prioritize follow‑up with IRS and state/local tax agencies to alleviate uncertainty
- Billing & Collections
- Send invoices to clients, collect tax payments, and update billing for automation
Non‑negotiable Skills & Requirements
- Minimum 5 years of experience performing bank reconciliations, account analysis, payroll, and issuing financial reports on behalf of a Certified Public Accounting firm
- Bachelor’s degree in accounting or a related field
