Job Summary: The Inventory Specialist ensures accurate, timely, and complete recording of all inventory movements. The role bridges the gap between Purchasing, Logistics/Warehouse, and Accounting by enforcing daily reporting, performing regular reconciliations, and investigating operational and system discrepancies. This role is critical for strengthening inventory controls, improving data reliability, and supporting financial reporting and audit requirements.
Key Responsibilities
1. Inventory Monitoring and Reporting
- Monitor and record all inbound and outbound inventory transactions daily.
- Ensure end-of-day inventory movement reports are prepared, reviewed, and properly documented.
- Validate delivery receipts, gate passes, pull-out forms, and other source documents supporting inventory movements.
- Coordinate with Warehouse and Logistics to ensure prompt and accurate recording of physical movements.
2. Reconciliation and Controls
- Perform monthly inventory reconciliation between warehouse physical stock, inventory records maintained by Accounting, and purchasing/receiving records.
- Investigate and explain inventory variances, shortages, overages, and timing differences.
- Prepare reconciliation schedules and variance analysis reports for management review.
- Recommend corrective actions and process improvements to prevent recurring discrepancies.
3. Coordination and Cross-Functional Support
- Act as the central point of coordination among Purchasing, Accounting, and Logistics for inventory matters.
- Ensure purchase orders, receiving reports, and inventory records are properly matched.
- Support Accounting in month-end and year-end closing related to inventory.
- Assist in the implementation and proper use of inventory modules within ERP systems (e.g., MS Dynamics 365 Business Central).
4. Physical Inventory and Audit Support
- Plan, coordinate, and participate in periodic physical inventory counts, including the annual inventory count.
- Ensure count procedures, cut-off controls, and documentation are properly implemented.
- Reconcile physical count results with book inventory and prepare adjustment recommendations.
- Provide inventory schedules and supporting documents for internal and external audits.
5. Process Improvement and Documentation
- Establish and maintain standard inventory procedures, including cut-off, documentation, and reporting timelines.
- Propose improvements to inventory workflows, controls, and reporting formats.
- Assist in drafting inventory-related SOPs and guidelines.
