Based in our Makati office under a hybrid work setup, you will work closely with the IMS Compliance Officer and assist in ensuring compliance with:
The Company’s Internal IMS requirements;
International ISO 9001 (Quality), ISO 14001 (Environmental), and ISO 45001 (Occupational Health & Safety) standards;
Customer requirements and standards; and
Applicable regulatory and statutory requirements.

Assist in the preparation, review, approval, issuance, and version control of IMS manuals, procedures, SOPs, forms, and other controlled documents.
Maintain and update the register of applicable legal and regulatory requirements, including Environmental and Occupational Health & Safety regulations.
Maintain and regularly update the master document register.
Ensure that only the latest approved versions of controlled documents are maintained and accessible through SharePoint.
Assist in monitoring document compliance and proper filing across projects and departments.
Prepare and organize required documentation for external audits, including ISO renewal and surveillance audits and customer audits.
Conduct project document audits to verify the completeness, accuracy, and proper filing of project records.
Assist in monitoring compliance with internal IMS documentation requirements.
Support the IMS Compliance Officer in preparing audit evidence and addressing documentation requirements.
Coordinate virtually with project team members based in Singapore to ensure project documentation is complete, updated, properly controlled, and appropriately stored.
Follow up on outstanding documents and coordinate with relevant stakeholders to meet compliance deadlines.
Organize and facilitate internal meetings and prepare meeting minutes.
Assist the IMS Compliance Officer in data tracking, preparation of management reports, presentations, and other compliance-related reports.
Perform other administrative and compliance-related tasks as assigned.
Bachelor’s degree or diploma in Management, Business Administration, Industrial Engineering, or a related field.
Open to fresh graduates with relevant internship experience or junior professionals with up to 2 years of experience in document control, quality assurance, compliance, or project administration.
Experience in a construction, or interior fit-out environment is an advantage.
Basic knowledge or strong interest in ISO 9001, ISO 14001, and ISO 45001 is an advantage.
Willingness to undergo further training in IMS and ISO standards.
Good verbal and written English communication skills, with confidence in coordinating with local and international stakeholders.
Proficient in MS Office and cloud-based collaboration and document management tools such as SharePoint and Google Workspace.
Strong organizational and documentation skills.
Highly organized and detail-oriented, with strong attention to accuracy and completeness.
Patient, self-motivated, dependable, and able to work independently with minimal supervision.
Able to manage multiple tasks, follow through on action items, and meet deadlines.
Strong proofreading skills, with an eye for identifying formatting issues, missing information, and outdated document versions.
Willing and comfortable to collaborate in a hybrid and regional work environment.
