Job summary

The Moment Group is seeking an Importation Manager to lead end-to-end import activities. You will coordinate shipments with international suppliers, brokers, and regulators, ensuring compliance and timely delivery of food and related products.

Applicants should have a strong background in import and export regulations, landed cost analysis, and ERP systems, with hands-on experience in logistics and supplier coordination to optimize processes and costs.

Qualifications

• Bachelor’s degree or equivalent in SCM, Logistics, International Business, Customs Administration, or related field.
• 5–8 years of importation/intl procurement/logistics experience, preferably in F&B.
• Experience managing end-to-end importation processes with international suppliers, freight forwarders, brokers, and regulators.
• Training or certification in import/export is an advantage.
• Strong knowledge of BOC, FDA, BAI and other regulations including LTO, CPR, import permits and clearance for food and imports.

Responsibilities

• Oversee end-to-end importation process from PO and shipment to customs clearance, delivery, and documentation.
• Coordinate with international suppliers, freight forwarders, and regulatory bodies to ensure compliant and timely shipments.
• Manage documentation: Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin, permits, and related cargo paperwork.
• Ensure compliance with customs regulations, tariff classification, duties, taxes, and trade controls.
• Handle cold chain for perishable and dry goods: shelf-life, temp control, monitoring, and port-to-warehouse delivery.

Importation Manager

1. Education & Experience

• Education: Bachelor’s degree in Supply Chain Management, Logistics, International Business, Customs Administration, or a related field.

• Experience: At least 5–8 years of relevant experience in importation, international procurement, logistics, or freight forwarding, preferably within the Food & Beverage (F&B) industry.

• Experience in managing end-to-end importation processes and coordinating with international suppliers, freight forwarders, customs brokers, and regulatory agencies.

• Training or certification in import and export regulations is an advantage.

• Regulatory Knowledge: Strong understanding of Bureau of Customs (BOC), Food and Drug Administration (FDA), Bureau of Animal Industry (BAI), and other relevant government regulations, including LTO, CPR, import permits, and clearance requirements for food and other imported products.

2. Core Technical Competencies

• Importation Management: Oversees the end-to-end importation process, from purchase order and shipment coordination to customs clearance, delivery, and documentation.

• Logistics & Freight Coordination: Strong knowledge of Incoterms such as EXW, FOB, and CIF, including their impact on freight, duties, and overall landed costs.

• Documentation Management: Extensive experience handling and reviewing Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin, import permits, customs documents, and other shipment-related requirements.

• Customs & Trade Compliance: Strong knowledge of customs regulations, tariff classification, duties and taxes, trade compliance, and import clearance procedures.

• Cold Chain Management: Knowledge of handling both perishable and dry goods, including shelf-life requirements, temperature control, shipment monitoring, and timely delivery from port to warehouse.

• Landed Cost Analysis: Ability to calculate and monitor landed costs, including freight, duties, taxes, customs fees, and other import-related expenses.

• Process Improvement: Identifies opportunities to improve importation processes, reduce costs, minimize delays, and ensure efficient shipment movement.

3. Leadership & Soft Skills

• Leadership & Team Management: Ability to lead and guide the importation team while ensuring timely and accurate completion of import activities.

• Problem-Solving: A proactive and solutions-oriented professional who can effectively manage shipment delays, customs issues, port congestion, documentation discrepancies, and other importation challenges.

• Negotiation & Communication: Strong negotiation and communication skills when dealing with international suppliers, freight forwarders, customs brokers, and other business partners.

• Attention to Detail: Highly detail-oriented in reviewing shipment documents, permits, declarations, and regulatory requirements to prevent costly errors and delays.

• Stakeholder Management: Able to coordinate effectively with Procurement, Finance, Warehouse, Operations, and other internal teams to ensure smooth importation and delivery processes.

4. Technical Toolkit

• ERP Systems: Experience using Microsoft Business Central or other ERP systems is an advantage.

• Advanced Excel: Proficient in using Excel for shipment tracking, landed cost calculations, importation reports, and monitoring multiple shipments across different stages of transit.

• Reporting & Monitoring: Ability to prepare and analyze importation reports, shipment status updates, cost summaries, and other operational reports.

5. Work Arrangement

• Open to working onsite in Makati.

• Willing to coordinate with international suppliers and logistics partners as needed to ensure timely shipment movement and clearance.
