Koko Mart Trading Inc. is seeking an Administrative Assistant to support administrative operations, government compliance, documentation control, procurement, and office management.
The role ensures accurate record management and adherence to company policies and regulatory requirements, coordinating with government agencies and vendors to complete compliance tasks. Ideal candidate has a bachelor’s degree, 1–2 years of related experience, and strong organizational and communication skills.
Position Overview
We are looking for a highly organized and detail-oriented Administrative Assistant to support the company's administrative operations, government compliance, documentation control, procurement, office management, and workplace coordination.This role ensures the efficient execution of administrative processes, accurate record management, and compliance with company policies and regulatory requirements. The position is responsible for processing and monitoring business permits, licenses, annual renewals, and other government compliance requirements, while coordinating with government agencies, building management, landlords, and external vendors to ensure the timely completion of administrative requirements.
Key Responsibilities
Maintain organized physical and digital filing systems, controlled documents, document masterlists, and company records.
Prepare, manage, and disseminate company memorandums, notices, advisories, and official communications.
Organize meetings and maintain official communication groups.
Monitor office supplies, coordinate procurement, and support office equipment and facility maintenance.
Maintain fixed asset records, including inventory, issuance, transfer, and disposal documentation.
Monitor administrative expenses and process reimbursement requests.
Coordinate with vendors and service providers for administrative and operational requirements.
Support workplace environment initiatives, including office organization, decorations, and employee recognition displays.
Prepare administrative reports, trackers, and documentation as required.
Ensure compliance with administrative procedures and company standards.
Qualifications
Education
Bachelor's degree or above
Experience
1-2 years of experience in administration or as an executive assistant, or experience coordinating general office operations (required).
Experience in retail operations, store administration, government permits processing, procurement, document control, or vendor coordination is an advantage.
Experience supporting store openings or multi-branch operations is highly preferred.
