Job summary

ZigZag is seeking an AU Financial Planning Administrator to join our team in a role that provides high‑level admin support to the Advice Team and paraplanning function. You will handle data entry, CRM maintenance, and policy research, while ensuring accuracy and timely task turnaround.

Ideal candidates have at least 1 year in financial planning and 2 years in customer service, with strong attention to detail, communication, and proficiency in XPlan/IFF/FIN365 and Microsoft Office.

Responsibilities

• Maintain CRM projects to ensure timely completion of activities
• Enter client and policy data accurately into the system
• Record notes and updates in CRM promptly and accurately
• Conduct policy calls, request quotes, complete policy research and update paraplanning and client files
• Ensure policy call preparation meets time and quality standards
• Prepare annual review packages, including file setup and system updates
• Follow detailed procedures and maintain accuracy in documentation
• Demonstrate a high-level understanding of paraplanning systems and tools or a willingness to learn
• Ensure clear communication with third parties to ensure the accuracy of data collected and the timely turnaround of all associated tasks
• Provide adhoc administrative support that may include reporting, presentation creation and general duties
