Job summary

ZigZag Philippines is seeking an AU Financial Planning Administrator to join our Advice Team in Metro Manila. This role provides high-level administrative support, focusing on client data, paraplanning tasks, and process accuracy to help deliver compliant, efficient financial advice.

The ideal candidate has at least 1 year in financial planning and 2 years in customer service, with experience in CRM systems and XPlan, IFF, FIN365, and Microsoft Office.

Qualifications

• At least 1 year in the financial planning industry.
• At least 2 years in customer service.
• Strong attention to detail and time management skills.
• Experience with CRM systems and data entry and XPlan, IFF, FIN365 and Microsoft Office suite.
• Excellent communication and organisational abilities.
• Familiarity with financial services or paraplanning tools is a plus.
• Commitment to compliance and professional standards.

Responsibilities

• Maintain CRM projects to ensure timely completion of all activities.
• Accurately enter client and policy data into the system.
• Record notes and updates in CRM promptly and accurately.
• Conduct policy calls, request insurance quotes, complete policy research and update paraplanning and client files.
• Ensure policy call preparation meets business expectations with respect to time and quality.
• Prepare annual review packages, including file setup and system updates.
• Follow detailed procedures and maintain accuracy in documentation.
• Demonstrate a high-level understanding of paraplanning systems and tools or a willingness to learn.
• Ensure clear communication with third parties to ensure the accuracy of data collected and the timely turnaround of all associated tasks.
• Provide adhoc administrative support that may include reporting, presentation creation and general duties.

Role Purpose:

This role is responsible for the provision of high-level administrative support to the Advice Team, working within the Financial Planning Administration & Paraplanning Team.

Who will you be working with?

• Internally you will work with financial advisers, accountants, finance brokers to support the clients financial plan
• Your peers will include client service administrators and paraplanners, collaborating with and learning from, supporting team members in delivering outcomes.
• Paraplanning Manager, daily to discuss workflow and outstanding requirements for completion of tasks by due dates
• Superannuation and Investment Platforms, insurance providers, liaising with product
• providers to obtain updated information

About You

• At least 1 year financial planning industry experience
• At least 2 year customers service experience
• Strong attention to detail and time management skills.
• Experience with CRM systems and data entry and XPlan, IFF, FIN365 and Microsoft Office suite
• Excellent communication and organisational abilities.
• Familiarity with financial services or paraplanning tools is a plus.
• Commitment to compliance and professional standards.
