Planning and Supervision

  • Responsible in planning and developing performance and financial goals in coordination with the goals set by other operating departments and in translating the company's overall goals into a financial plan/budget.
  • Formulate/recommends policies, systems and procedures that would enhance the accounting/financial management.
  • Plans, directs and controls day-to-day activities of General, Cost and Treasury Sections personnel to ensure effective coordination and optimum performance in such areas as:
  • processing of transactions and recording them in the appropriate book of accounts
  • adherence to generally accepted accounting principles and internal accounting controls covering transactions processing, recording and reporting
  • internal and external reporting requirements;
  • coordinating with other departments
  • Conducts monthly staff meetings to determine apparent problem areas not only in accounting related tasks but also on administrative matters and the subsequent formulation of remedial measures.
  • Monitors job performance of each accounting personnel through the review and evaluation of actual work performance and the preparation of job performance reports to his/her superior.
  • Recommends to the Head of Finance measures to upgrade the knowledge and professional skills of the accounting staff through the following
  • determining the appropriate seminars/trainings for the accounting staff

Controlling

Reviews the following:

  • Check Vouchers (CVs) as to the propriety of accounting entries as against source documents and ensures its preparation in accordance with established policies and controls including availability of budget for such expenditure.
  • Summary of Petty Cash Vouchers for Replenishment (SPCVR) as to propriety of distribution made to the different accounts ensuring that the official documents supporting petty cash fund replenishment are adequate and accurate;
  • Weekly/Monthly Sales Report;
  • Fixed Asset Request Form (FARF) as to the appropriateness of the Net Book Value computation of fixed assets for disposal/sale;
  • Budget performance reports

Reviews and approves the following:

  • accounting entries
  • transaction prooflist covering various accounting transactions as against the books of original entry and the related source documents
  • Journal Vouchers (JVs) as to the propriety of accounting entries and the validity of the supporting documents subject to the further review and approval by his superiors.
  • Cash Advance Liquidation Form (CALF) as to the completeness and validity of supporting documents and the appropriateness and reasonableness of expenses incurred, like:
  • Credit Memos (CMS) and Debit Memos (DMs) as against source documents
  • Statement of accounts as against source documents/book balances
  • Reports for submission to various government agencies including tax matters

Reviews and approves monitoring reports covering:

  • sales and purchases
  • receivables and payable accounts
  • fixed assets
  • inventory accounts
  • cash
  • payroll

Recording and Reporting Function

  • Reviews that the other books of accounts are adequately maintained and updated on a daily basis.
  • Recommends appropriate adjusting journal entries for further approval of the Head of Finance.
  • Checks the completeness of and compiles summaries/schedules of various subsidiary ledger accounts to support the preparation of financial statements.
  • Reviews the Trial Balance (TB) ensuring that the balances tally with the GL. Makes sure discrepancies noted are investigated, adjusted and corrected immediately.
  • Observes that cut-off financial statements are generated on time for submission to the top management.
  • Calculates cash forecasts based on collections, payment schedules and projected expenses on a weekly basis.

Others

  • Reviews quarterly physical inventory listings including semi-annual fixed assets inventory
  • Undertakes other special projects that may be assigned by the Head of Finance and the management relative to exercising his functions.
