Job summary

Solviva is a fast-growing solar startup in the Philippines seeking a Finance Operations Controller. You will own accounting quality, close discipline, and finance systems governance, while guiding an internal AR/AP team and an outsourced provider.

This hands-on role supervises the AR and AP associates and partners with the Finance Manager on strategic cash, FP&A, and policy decisions. You will manage the monthly/year-end close, ensure audit-ready records, and drive timely financial reporting.

Qualifications

  • Strong accounting background with experience in financial reporting and controls.
  • Proven ability to manage month-end and year-end closes.
  • Experience overseeing AR/AP and third-party accounting providers.

  • Review journal entries, accruals, prepayments, schedules and reconciliations for accuracy and support.
  • Ensure timely preparation of reliable financial statements in line with standards and policies.
  • Investigate unusual balances and ensure timely resolution with internal and outsourced teams.
  • Maintain audit-ready documentation and traceability to source records.
  • Lead management of the outsourced accounting provider and maintain clear accountability.
  • Supervise AR/Accounts Receivable and AP/Accounts Payable processes and governance.
  • Coordinate with cross-functional teams to improve data quality and process compliance.

Role Overview

The Finance Operations Controller is the internal owner of accounting quality, financial controls, close discipline, and finance systems governance. The role ensures that Solviva maintains reliable, audit-ready accounting information while operating through a hybrid model composed of an internal AR and AP team and an outsourced accounting service provider.

This is a hands-on controllership role. The Controller is expected to review source schedules, investigate accounting issues, enforce process discipline, and drive matters to resolution-not merely review reports or make decisions from a distance.

The role directly supervises the AR Associate and AP Associate, manages the performance and deliverables of the outsourced accounting provider, and serves as Solviva's internal process owner for Odoo Finance. Strategic cash allocation, funding, FP&A, final policy approval, and board or investor narratives remain with the Finance Manager.

Key Responsibilities
Accounting Operations, Close & Financial Reporting
  • Own the monthly and year-end close calendar, including task assignment, dependencies, escalation, and completion status.
  • Review journal entries, accruals, prepayments, account schedules, reconciliations, and the trial balance for accuracy, completeness, cut-off, and appropriate support.
  • Ensure the timely preparation of reliable financial statements and supporting schedules in accordance with applicable accounting standards and company policies.
  • Investigate unusual balances, unreconciled items, and material period-on-period movements and drive timely resolution with internal teams and the outsourced provider.
  • Maintain an audit-ready accounting environment with clear documentation, version control, and traceability to source records.
Outsourced Accounting Provider Management
  • Act as the primary internal owner of the outsourced accounting relationship, including scope, service levels, deliverables, issue resolution, and performance reviews.
  • Review and accept recurring outputs such as reconciliations, adjusting entries, tax filings, trial balances, financial statements, and close reports.
  • Ensure that outsourced activities complement rather than duplicate the work of the AR and AP Associates.
  • Maintain a clear RACI, issue tracker, and escalation process across Solviva and the outsourced provider.
  • Lead knowledge transfer and ensure that Solviva retains ownership of accounting records, processes, system configuration decisions, and documentation.

Accounts Receivable - Operational Governance
  • Directly supervise the AR Associate and ensure complete and timely invoicing, collection posting, customer account maintenance, and AR aging updates.
  • Ensure that AR sub-ledgers, customer schedules, collection records, and the general ledger are reconciled and supported.
  • Enforce collection follow-up discipline and coordinate with Sales, Operations, and Customer Experience to resolve billing issues and disputes.
  • Review delinquency, long‑outstanding balances, unapplied collections, and other high‑risk items and escalates material matters to the Finance Manager.
  • Support the implementation of credit loss, write‑off, and collection policies approved by management.
Accounts Payable - Controls & Process Discipline
  • Directly supervise the AP Associate and ensure complete and timely invoice capture, validation, coding, posting, and supplier account maintenance.
  • Ensure that AP aging, supplier statements, RFP records, payment schedules, and the general ledger are reconciled and supported.
  • Enforce purchase authorization, receiving, project coding, invoice support, vendor master, and payment approval controls.
  • Review duplicate‑payment risks, long‑outstanding payables, debit balances, unmatched receipts, and unrecorded liabilities.
  • Provide validated payment information to the Finance Manager while escalating prioritization decisions, commercial exceptions, and liquidity trade-offs.
  • Oversee accounting for inventory receipts, transfers, project issuance, physical counts, reconciliations, and cost recognition.
  • Ensure complete project‑level capture of materials, EPC costs, logistics, permits, and other direct costs for project margin reporting.
  • Validate revenue and cost recognition triggers against installation, completion, and supporting operational records.
  • Coordinate with Supply Chain, Warehouse, Engineering, and Operations to resolve inventory and project‑costing discrepancies.
  • Support technical assessments involving RTO arrangements, significant financing components, expected credit losses, contract balances, and other judgmental areas.
Technical Accounting, Tax, Audit & Compliance
  • Prepare or review accounting position papers, policy documentation, and recommendations for complex or non‑routine transactions.
  • Serve as the primary accounting contact for external auditors, tax advisors, and accounting due diligence, with final policy decisions escalated to the Finance Manager and management.
  • Oversee the completeness and timeliness of statutory tax filings and related support prepared by the outsourced provider or internal team.
  • Ensure audit and tax requests are addressed through accurate schedules, complete support, and clearly assigned action items.
  • Monitor regulatory and accounting developments relevant to Solviva and recommend required process or policy changes.
Reporting, Coordination & Stakeholder Management
  • Provide regular updates to the Finance Manager on close status, material accounting issues, AR and AP risks, tax matters, system issues, and control gaps.
  • Provide accounting analysis and validated financial information for management reporting, budgeting, cash planning, investor diligence, and board materials.
  • Partner with Sales, Operations, Supply Chain, Warehouse, Engineering, Tech, and Customer Experience to improve financial data quality and process compliance.
  • Escalate matters requiring policy decisions, commercial judgment, liquidity prioritization, or executive intervention.
