MicroSourcing is hiring a Finance Administration Officer for its Global One, Eastwood, Quezon City location. This onsite, day-shift position focuses on bulk delivery reconciliations, invoicing, RCTIs, and supplier payments within a logistics framework.

The role requires strong MS Excel, experience with ERP systems (Pronto Xi, TrackAbout), and a proactive approach to controls and SOPs. The company offers day-one healthcare, competitive rewards, and opportunities for growth.

Competenze

• Experience in operational accounting, accounts payable, delivery reconciliations, or inventory administration in logistics or distribution.
• Proficient in delivering reconciliations and RCTI processing, and resolving billing variances.
• Ability to reconcile stocktakes against ERP records and investigate discrepancies.
• Strong MS Excel skills for data consolidation, VLOOKUP/XLOOKUP, pivots, and variances.
• Adherence to SOPs and internal control requirements.

• Bulk delivery reconciliations & customer invoicing: end-of-day reconciliations for bulk gas deliveries, landed-cost PO creation, invoicing, variances.
• RCTI & contractor payment processing: data for RCTIs, contractor payments, receipts, driver pay rates updates.
• Accounts payable administration: raise POs, match receipts, process invoices/payments to vendors.
• Inventory control & stocktake admin: consolidate stocktake data, investigate variances, upload to ERP, register barcodes.
• Driver compliance & reporting: weekly reports cross-referencing ERP data to identify gaps and unverified deliveries.
• SOPs & process optimization: develop SOPs, strengthen controls, improve inventory and billing workflows.

Your Role

As a Finance Administration Officer, you will:

• Bulk Delivery Reconciliations & Customer Invoicing: Execute end-of-day trip reconciliations for bulk gas deliveries, generate purchase orders at landed cost, process customer invoices, and resolve delivery quantity/rate variances.
• RCTI & Contractor Payment Processing: Compile data for Recipient Created Tax Invoices (RCTIs), process contractor payments for gas deliveries, confirm branch delivery receipts, and update driver pay rates.
• Supplier Accounts Payable Administration: Raise purchase orders, match delivery receipts, and process invoices and payments for national gas suppliers and transportation contractors.
• Inventory Control & Stocktake Administration: Consolidate branch stocktake data, investigate inventory variances to root causes, upload stock balances into Pronto ERP, and register barcodes in TrackAbout cylinder tracking software.
• Driver Compliance & Operational Reporting: Generate weekly driver compliance reports cross-referencing Pronto and TrackAbout data to identify tracking gaps or unverified deliveries.
• SOP Development & Process Optimization: Develop Standard Operating Procedures (SOPs), strengthen internal financial controls, and continuously improve inventory and billing workflows.

What You Need

Non-negotiables

• Finance & Operational Administration Experience: Proven track record in operational accounting, accounts payable, delivery reconciliations, or inventory administration within a logistics or distribution environment.
• Delivery Reconciliations & RCTI Processing: Practical experience conducting trip reconciliations, managing Recipient Created Tax Invoices (RCTIs), and resolving contractor billing variances.
• Inventory Control & Variance Investigation: Demonstrated capability to reconcile physical stocktakes against ERP records and investigate inventory discrepancies to root cause.
• Intermediate to Advanced MS Excel Skills: Strong capability in MS Excel for data consolidation, VLOOKUP/XLOOKUP functions, pivot tables, and variance reconciliations.
• Procedure Adherence & Internal Controls: High discipline in following and developing SOPs, maintaining financial audit trails, and enforcing company policy controls.

Preferred Skills/expertise

• Practical experience using Pronto Xi ERP or TrackAbout asset tracking software.
• Background in fuel, gas, industrial chemical, freight, or multi-site distribution industries.
• Experience managing contractor rates, purchase order frameworks, and accounts payable approvals.
• Demonstrated experience driving process improvement initiatives within finance operations.
