About the Role
As a Finance Admin Assistant, you'll support real estate financial operations — processing settlements, managing trust receipting and disbursements, running reconciliations, and supporting compliance and reporting. The role suits a detail-driven operator who moves quickly through routine work and steps up on more complex issues without losing accuracy.
Trust Accounting & Settlement Processing
- Prepare and process account sales and settlements
- Manage sales deposits, trust receipting, and disbursements
- Perform reconciliations and ensure compliance with trust legislation
- Process accounts payable and vendor payments
- Support water billing and settlement‑related financial tasks
Compliance, Reporting & Client Support
- Prepare and send account sales to conveyancers
- Issue settlement confirmations and statutory invoices
- Assist in financial and operational reporting
- Ensure compliance with financial and regulatory requirements
Database & Records Management
- Maintain and update financial and property records
- Assign invoices and track transactions
- Investigate unpaid invoices and discrepancies
- Maintain proper documentation and audit trails
- Identify and resolve financial discrepancies
- Conduct reconciliations for accounts and transactions
- Investigate and address payment or billing issues
- Support resolution of settlement‑related concerns
Planning, Coordination & Task Management
- Prioritise daily financial tasks and deadlines
- Coordinate with internal teams and external stakeholders
- Manage multiple responsibilities across a structured workflow
- Support smooth execution of financial operations
Process Improvement & Support
- Identify opportunities to improve financial workflows
- Support updates to procedures and documentation
- Assist in training new team members when needed
Artificial Intelligence (AI) Readiness and Digital Enablement
- Maintain baseline AI literacy and use approved AI tools responsibly, in line with company policies, data privacy, information security, and client confidentiality obligations
- Apply sound judgment by validating outputs and avoiding overreliance, ensuring accuracy and accountability in all work delivered
- Participate in AI readiness trainings and proactively identify opportunities for process improvement through automation and responsible AI integration
Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field
- At least 1‑2 years of experience in finance, accounting, or administrative roles
- Exposure to trust accounting, settlements, or property management processes is an advantage
- Relevant accounting or finance certifications (preferred but not required)
- Basic understanding of financial compliance, trust accounting, and regulatory requirements
- Strong written and verbal communication skills, with the ability to coordinate with stakeholders and respond to financial queries accurately
- Detail‑driven, process‑oriented mindset with the ability to manage multiple priorities
