The Facilities Manager is responsible for overseeing the daily operations, maintenance, safety, and efficiency of all company facilities within a BPO environment. This role ensures that all workspaces, equipment, utilities, and building services support uninterrupted business operations, employee productivity, and compliance with safety and regulatory standards.
Key Responsibilities
1. Facilities Operations Management
- Oversee the day to day operations of office facilities across BPO sites
- Ensure all work areas, production floors, meeting rooms, and common areas are clean, safe, and fully functional
- Manage facility repairs, preventive maintenance, and service requests in a timely manner
2. Vendor and Contractor Management
- Coordinate with third party vendors for maintenance, security, housekeeping, pest control, HVAC, electrical, and plumbing services
- Evaluate vendor performance and ensure service level agreements are met
- Negotiate contracts and manage vendor relationships for cost efficiency
3. Safety and Compliance
- Ensure compliance with building codes, occupational safety standards, and company policies
- Implement health, safety, and emergency preparedness programs including fire drills and evacuation plans
- Conduct regular safety inspections and risk assessments
4. Space Planning and Office Expansion
- Support office layout planning, seat allocation, and workspace optimization
- Assist in site expansion, relocation, or renovation projects
- Coordinate with IT and Operations teams for infrastructure readiness
5. Budget and Cost Management
- Prepare and manage facilities budget including maintenance, utilities, and capital expenditures
- Monitor expenses and implement cost saving initiatives without compromising service quality
6. Equipment and Asset Management
- Oversee office equipment, furniture, and facility assets inventory
- Ensure proper tracking, maintenance, and replacement of assets as needed
7. Utilities and Infrastructure Management
- Monitor electricity, water, internet, and other utilities to ensure uninterrupted operations
- Implement energy efficiency and sustainability initiatives
8. Emergency and Crisis Management
- Act as key point person during emergencies such as power outages, natural disasters, or facility incidents
- Develop and maintain business continuity and disaster recovery support plans for facilities
Requirements
Qualifications
- Bachelor’s degree in Engineering, Architecture, Business Administration, or related field
- At least 5 to 8 years of experience in facilities management, preferably in a BPO or corporate environment
- Strong knowledge of building systems (electrical, mechanical, HVAC, etc.)
- Experience managing vendors, contractors, and service providers
- Strong leadership, organizational, and problem solving skills
- Ability to work under pressure and handle multiple site operations
- Knowledge of safety regulations and compliance standards in the Philippines
