You own the operational rhythm of a U.S.-based dermatology organization's CEO office — managing calendar, communications, travel, research, and special projects that keep the CEO focused on high-value work. Your work follows established communication standards, scheduling protocols, and confidentiality practices aligned with executive and organizational expectations.
This is not a general admin role. You operate as a trusted extension of the CEO, coordinate directly with internal and external stakeholders, and are trusted to anticipate needs and act decisively without repeated clarification. Best suited for professionals who thrive in structured executive support environments, value discretion and detail, and prefer proactive ownership over reactive task work.
YOU'RE LIKELY A STRONG FIT IF YOU HAVE
- Proven experience as an executive assistant or in a comparable high-level administrative role
- Strong proficiency in Microsoft Office Suite and office management software
- Excellent organizational and multitasking skills across calendar, communications, and project work
- Strong written and verbal English, with the ability to draft correspondence, reports, and presentations for a CEO audience
- Demonstrated discretion and confidentiality in handling sensitive executive or business information
- Willingness to work a permanent night shift (11:00 PM–8:00 AM PH Time) aligned with U.S. business hours from a stable home-office setup
STRONG SIGNALS
- Bachelor's degree in Business Administration, Communications, or a related field
- Prior experience supporting a U.S.-based healthcare, medical, or professional services organization
- Familiarity with the dermatology industry or comparable specialist medical practice
- Experience with budget tracking, expense management, and vendor or office supply coordination
- Comfort using AI tools to accelerate correspondence drafting, research, and calendar management
RESPONSIBILITY PILLARS
Calendar, Travel & Communications
You own the CEO's daily calendar, inbox, and travel logistics.
- Manage the CEO's calendar, scheduling meetings, and coordinating domestic and international travel
- Prepare and edit correspondence, reports, and presentations
- Serve as liaison between the CEO and internal and external stakeholders
- Handle and prioritize incoming communications and inquiries
Projects, Research & Documentation
You keep special projects, research, and executive documentation moving.
- Conduct research, compile data, and prepare documents for presentations
- Organize and coordinate special projects and events within the organizationMaintain the organization of files, records, and office systems
- Prepare materials and briefing documents for CEO-level meetings and initiatives
Office Operations & Budget Support
You own the operational back-office and keep it running smoothly.
- Track budgets and prepare expense reports
- Manage office supplies and coordinate maintenance of office equipment
- Handle other operational administrative tasks as required
- Maintain confidentiality and discretion in all interactions
