The successful candidate will handle inquiries via phone, SMS, and email, schedule within the practice management system, and maintain accurate records of patient interactions. Ideal applicants will have healthcare scheduling experience, excellent communication, and proficiency with CRM and appointment tools.

Qualifications

• Experience in appointment scheduling, preferably in a dental or healthcare environment.
• Excellent verbal and written communication skills, with the ability to build trust and maintain professionalism with patients over phone, SMS, and email.
• Familiarity with third-party lead management systems such as Progressive and appointment management software in a healthcare setting.
• Strong ability to multitask, manage time efficiently, and prioritize scheduling tasks without sacrificing attention to detail.
• Comfort with technology, including CRM systems, scheduling tools, and communication platforms.
• A friendly, empathetic, and professional demeanor with a passion for providing exceptional patient service.

Responsibilities

• Lead Management and Communication: Respond promptly to patient inquiries received through Progressive and other advertising platforms via phone, SMS, and email to engage and qualify leads.
• Appointment Scheduling: Coordinate and schedule appointments in the practice management system, ensuring availability aligns with both patient needs and provider schedules.
• Patient Interaction: Build rapport with patients, providing them with accurate information about services, treatment options, and appointment protocols to enhance their experience.
• Data Entry and System Updates: Maintain up-to-date and accurate records of patient interactions, appointments, and qualifications in the relevant systems.
• Follow-Up Communication: Proactively follow up with leads and existing patients to confirm appointments, reschedule missed appointments, and encourage continued care.
• Collaboration with Internal Teams: Coordinate with treatment coordinators or other staff to ensure leads are appropriately qualified and ready for consultations or services.
