BW Epic Kosan Crewing Inc. is seeking a detail-oriented Crewing Coordinator to ensure seafarers are qualified, medically fit, and compliant with STCW and Flag State requirements.

The role involves coordinating with crew, vessels, port agents, and other parties to secure required documentation for crew changes and relief plans. Strong teamwork, organization, and communication are essential for success.

Qualifications

• Bachelor's Degree in Business Administration or related field.
• At least 2 years of experience in maritime/crewing.
• Familiar with STCW, MLC, DMW regulations.
• Strong teamwork and leadership when needed.
• Highly organized, proactive, and able to manage multiple priorities.

Responsibilities

• Ensure seafarers meet STCW and Flag State requirements and are medically fit.
• Verify compliance with statutory regulations and SMS procedures.
• Coordinate with crew, vessels, and agents for crew relief documentation.
• Ensure onboarding and crew training matrix compliance for all crew.
• Coordinate flight bookings for on-signing and off-signing crew.
• Schedule briefings for top officers and liaise with the technical department.
• Update crew management system and verify documents for accuracy.
• Record embarkation/disembarkation data and keep crew info current.
• Handle crew employment processes including promotions, resignations and terminations.
• Process and approve crew reimbursement and related invoices.

Job description

The Crewing Coordinator has a core function to ensure that all seafarers placed on board by the Company are properly qualified in accordance with International (STCW) and Flag State regulations, are medically fit and comply with Company Recruitment Policies and Customer Vessel requirements.

It is also important to verify the seafarer's compliance to Statutory regulations, and Company's SMS procedures.

The Crewing Coordinator reports directly to the Team Leader, Crewing & Recruitment in Manila,Philippines.

Main duties

• 1. Ensure all seafarers placed on board by the Company are properly qualified in accordance with International (STCW) and Flag State regulations, are medically fit, and comply with Company Recruitment Policies and Customer Vessel requirements.
• 2. Verify that seafarers comply with statutory regulations and the Company's SMS procedures.
• 3. Coordinate with crew, vessels, port agents, and other related parties to obtain relevant traveldocumentation required for crew relief plans and crew change activities.
• 4. Ensure all on-signing and onboard crew follow the requirements of the certificate and training matrix.
• 5. Facilitate flight bookings for on-signing and off-signing crew.
• 6. Facilitate the briefing meeting schedule of Top 2 officers and coordinate with the technicaldepartment.
• 7. Assist in updating crew personnel information in the crew management system and verify theaccuracy of crew documents and certificates.
• 8. Update crew embarkation and disembarkation reports in office systems and ensure crew informationis current before on-signing vessels.
• 9. Execute tasks related to crew employment, including promotions, resignations, and terminations.
• 10. Facilitate and approve crew reimbursement claims.
• 11. Verify and approve invoices related to crew change costs.

Qualification

• Bachelor's Degree in Business Administration or a related field
• At least 2 years of experience in maritime/crewing
• Familiar with the requirements of STCW, MLC, DMW, etc.

• Highly organized, proactive, and able to manage multiple priorities efficiently
• Excellent interpersonal and communication skills
• Strong time management and results-driven mindset
• Knowledgeable in processing requirements with government agencies and various embassies
• Proficient in Microsoft Office, SharePoint, and Crew Database Management Systems
