Job summary

WebBeds is seeking a Contract Loading Associate to join the Operations team. This entry-level role supports global contracting by accurately entering supplier contract data into our database and ensuring timely processing in line with SLAs.

You will handle new contracts, updates, cost calculations, and QA checks. A strong eye for detail, ability to work independently, and good communication are essential to succeed in a hybrid work environment.

Qualifications

Fluency in English required.

Responsibilities

Enter new supplier contracts for sale into the company database system.
Enter updates and amendments to existing contracts.
Calculate costs using basic maths.
Self-check work to aim for a zero error rate.
Meet department SLA turnaround times.
Follow department processes and procedures.
Raise queries for incorrect contract details.
Liaise with Contract Managers to resolve queries.
Assist supplier partners with requests promptly.
Provide feedback on workflow blockages.
Complete tasks as allocated by Team Leader or Manager.
Attend trainings to upgrade knowledge.
Complete reports across the department.
Offer general support to other teams.
Achieve targets weekly, monthly, or annually.

What will you do on your journey with WebBeds?

Working within the Contracting Operations Team this is an entry level role focused on providing administrative support to the global commercial contracting teams and ensuring efficient and accurate entry of supplier contract information into the company database system(s) within agreed service levels.

Contract Loading Associates must have a strong eye for detail, be able to work independently and to follow processes and procedures to deliver excellent, error free loading.

How you will make an impact…

Responsibilities include but not limited to:

Enter new supplier contracts for sale into the company database system(s).
Enter updates and amendments to existing contracts within the company database system(s).
Calculation of costs rates using basic maths.
Ensure highest standard of accuracy of entry by undertaking a self-check of work entered with the aim to achieve a ‘zero error rate’.
Ensure that all turnaround times are met as per department SLA.
Always follow the department processes and procedures.
Raise queries for any contract details that appear incorrect or do not follow standard or agreed processes and procedures.
Liaise with internal Contract Managers by voice or email communication as necessary to resolve all contract related queries.
Assist supplier partners with any requests in a timely manner and a polite and professional manner.
Provide feedback on where you identify any blockages within your day-to-day workflow.
Complete all work-related tasks as allocated by Team Leader or Department Manager.
Attend presentations and training as required to upgrade knowledge and skills.
Accurately complete any reports as required across the department.
To offer general support to other team members and to other departments if needed.
Achieve targets and objective as provided to you on weekly, monthly, or annual basis.
