We are seeking for an experienced Construction Project Coordinator / Procurement Coordinator for an Atlanta-based luxury custom and semi-custom home builder constructing 15 to 20 homes per year, with a team of roughly 10 people split between office and field operations. To support continued growth and deliver a better client experience.
This role reports to the procurement manager and works alongside an existing coordinator, joining a functioning team with established SOPs and processes that provide real structure, while also carrying gaps and a learning curve that the right person is expected to navigate without being walked through every step.
The ideal candidate is an experienced hire, not a trainable one. The client wants someone plug and play who understands residential construction to a solid level, bringing real-world experience in reading design documents, managing procurement workflows, and
cross-checking bids and purchase orders against project specifications. Estimation and procurement are treated as one loop here: you cannot buy well unless you can price, and the person in this role is expected to own the budget, not just process approvals against one someone else set. Custom home estimation experience is strongly valued for exactly this reason. Above all, the client wants an intelligent, forward-thinking self-starter who takes ownership of their work and follows through without being chased.
Review incoming supplier and subcontractor bids against design documents, confirming that SKUs, colors, and specifications match before approval
Create and queue purchase orders for materials ranging from plumbing supplies to tile and lighting, ensuring orders are placed correctly and within budget
Track order status and flag discrepancies between procurement documents and project design files
Apply custom home estimation knowledge to help build and set project budgets, treating pricing as a prerequisite to buying rather than a separate function
Cross-reference procurement costs against budgeted figures, raise concerns proactively with the procurement manager, and take responsibility for budget accuracy from the start of procurement through order placement
Identify cost variances early and independently so the team can course-correct before they affect the build schedule
Maintain organized digital filing for project documents, design files, quotes, schedules, and correspondence
Manage COI (Certificate of Insurance) tracking for subcontractors, checking expiration dates and requesting updated certificates as needed
Ensure change orders are created accurately and filed in the correct project records
Receive and triage incoming warranty requests, follow the established warranty SOP, communicate back to the appropriate parties, and follow up with trades to confirm resolution
Monitor project management boards in Monday.com, apply logic checks to ensure statuses reflect actual field conditions, and update records accordingly
Answer client questions and route issues to the right team members in a timely manner
Manage day-to-day workflows in Monday.com, keeping boards current and accurate
Work within Buildertrend (current platform) for schedules, purchase orders, and change orders, with a willingness to transition to Bedrock Homes' proprietary project management suite as it is rolled out
Use Microsoft Office 365 for document creation, communication, and file management
Minimum 3 years of experience in residential construction coordination or procurement, ideally in custom or semi-custom home building
Demonstrated ability to read and interpret construction design documents, specifications, and material schedules
Experience reviewing subcontractor and supplier bids for accuracy against design documents, including SKU and color verification
Experience working with U.S. or Canadian residential construction companies
Proficiency with Monday.com and Microsoft Office 365; Buildertrend experience is a strong asset
Familiarity with purchase order creation, change order processing, and COI management
Custom home estimation experience is strongly valued: the ideal candidate can build and set a project budget, not only monitor or flag against one, treating estimation as part of the procurement process rather than a separate skill
Excellent written and verbal English communication skills
Hands-on experience with Buildertrend, including schedules, POs, and change order workflows
Familiarity with warranty management processes in a home building context
Experience supporting a procurement manager or working as part of a small, fast-moving construction office team
Comfort navigating proprietary or in-house project management tools and adapting quickly as systems evolve
