Job summary

RemoteHirely Pty Ltd. is seeking an Account Manager or Onboarding Specialist with experience in an accounting setting. The role involves coordinating with sales and accounting teams, guiding clients through onboarding, and ensuring data accuracy for engagement setup.

You will conduct onboarding calls, manage client records, and drive timely information requests. Strong communication and meticulous follow-up are essential to success in this position.

Responsibilities

• Liaise with the sales team to capture client context: what was sold, lodgment history, ATO pressure points, deadlines and any sensitivities.
• Liaise with the assigned accountant to confirm the initial information and documents needed before work can start.
• Keep sales and accountants updated on onboarding status, blockers and client risk.
• Schedule onboarding calls with every new client promptly after sign-up.
• Run 3-5 onboarding video calls per day, around 30 minutes each.
• Walk clients through the process, what we need from them, timeframes and nextsteps.
• Set clear expectations and reassure clients who are anxious about their tax position.
• Enter and verify client profile data: entity details, TFN/ABN, contact details, ATO and agent linking, and engagement scope.
• Ensure every client record is complete and accurate before handover.
• Create jobs in Xero Tax for each lodgment and engagement in scope.
• Issue initial information requests and track what is outstanding per client.
• Chase outstanding information and tasks by SMS, email and phone.
• Manage a large pool of unresponsive clients with a structured, persistent follow-up cadence.
• Escalate stalled or at-risk clients to the accountant or Practice Lead.
• Manage a high volume of open tasks and keep the onboarding pipeline current.
• Prioritise by deadline, ATO risk and client value.
• Keep notes, statuses and next actions up to date in our systems.
