Duties and Responsibilities
- Serve as the primary point of contact for new clients during the onboarding process.
- Coordinate with clients to gather required financial documents, explain onboarding steps, and provide regular status updates.
- Set up new accounts or migrate existing books in QuickBooks Online (QBO) or Xero, ensuring secure access and data transfer.
- Troubleshoot system issues and liaise with support teams to ensure seamless client transitions.
- Handle corporation and LLC formation across multiple U.S. states, including filing entity formation documents with the IRS, preparing Articles of Incorporation (AOI), Statements of Information (SOI), and Employer Identification Number (EIN) applications.
- Process corporate amendments, renewals, and compliance filings to maintain good standing.
- Manage offboarding tasks for departing clients, coordinating account closures, revoking access, preparing final compliance filings, transferring client records, and ensuring smooth transitions.
- Prepare tax planning calculations and materials for Tax Planning Introduction Calls with the Sales Team and CEO.
- Create and implement customized tax plans, analyzing prior-year returns and current financial data to identify missed deductions, credits, and tax‑saving opportunities.
- Attend Tax Plan meetings with the CEO/Advisor to provide real‑time support, including making edits or clarifications during client presentations.
- Update and refine tax plans during quarterly client reviews upon request.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- At least 2–4 years of experience in client onboarding, accounting, bookkeeping, or tax‑related roles.
- Hands‑on experience with accounting software such as QuickBooks Online (QBO) and/or Xero, including account setup and data migration.
- Working knowledge of U.S. business entity formation (LLC, Corporation) and basic compliance requirements (EIN applications, state filings).
- Experience handling client communications, including onboarding coordination and status updates.
- Familiarity with tax preparation concepts and ability to assist in basic tax planning calculations.
- Strong organizational skills with the ability to manage multiple client engagements simultaneously.
- Problem‑solving skills with the ability to troubleshoot system or process issues.
- Proficiency in Microsoft Excel/Google Sheets and document management tools.
- Strong written and verbal communication skills.
