Remote Staff, Inc. seeks a project-based Business Systems & Automation Specialist to assess current software setups, identify data loss or double-handling, and propose practical automations—or AI where it saves time and cuts costly mistakes.
The role targets enhancing workflows across Simpro, Microvellum, CabinetryOnline, Xero, and Microsoft 365 environments, with emphasis on data integrity and scalable improvements. Remote, project-based engagement.
Status: Project-based
The client is looking for a project-based Business Systems & Automation Specialist to review existing software setups, pinpoint where data gets lost or double-handled, and recommend practical automations—or AI where it makes sense to save time and cut down on costly mistakes.
Review how jobs flow through current tools: Simpro, Microvellum, CabinetryOnline, Xero, Microsoft 365 (SharePoint/OneDrive), spreadsheets, and email.
Tackle key friction points:
Eliminating duplicate data entry between emails, plans, and job cards.
Preventing specification mismatches (materials, colors, sheet sizes, quantities) before purchasing or cutting begins.
Improving file management so teams always work from the latest version.
Clearing the backlog of stalled system improvements.
Recommend sensible, low-maintenance solutions—using standard automations, process tweaks, or AI only where it genuinely adds value.
Build, test, and hand over 1–2 approved fixes with clear, simple instructions.
Proven experience reviewing, integrating, and optimizing operational systems ideally for manufacturing, construction, trade, or design businesses.
Experience with or strong adaptability to systems like Simpro, Microvellum,CabinetryOnline, Xero, and Microsoft 365 / SharePoint / Power Automate.
Hands‑on ability to build automations (e.g., Zapier, Make, Power Automate, native APIs, or scripts) with sound judgment on where generative AI/LLMs add genuine value versus traditional automation.
Strong problem‑solving skills with the ability to investigate files, data structures, and workflows independently with minimal oversight.
Excellent written and verbal communication skills, able to produce plain-English documentation and deliver concise, asynchronous progress updates.
The project starts with a small, focused scoping phase:
Brief Kickoff: The client will give a quick walkthrough of a few real job files, common error examples, and targeted Q&A.
Actionable Roadmap: Deliver a short, prioritized recommendations list that clearly outlines:
Estimated time saved and errors prevented.
Effort, timeframe, and tool costs.
Any trade‑offs or limitations.
Execution: Once the roadmap is reviewed, the specialist will build and test the top 1–2 selected solutions.
