Job summary

Autokid Mobility Solutions in the Philippines is seeking a diligent Sales Admin to support the Sales Team with administrative tasks, document management, and accurate record-keeping. You will prepare quotations, purchase orders, and sales paperwork, coordinate with Accounting, Finance, and Operations, and help schedule vehicle deliveries and customer appointments.

Qualifications

• College graduate or undergraduate in Business Administration, Marketing, Management, Office Administration, or related field.
• Experience in Sales Administration, Sales Support, Automotive dealership, or related industry is an advantage.
• Proficient in Microsoft Office, especially Excel and Word.
• Strong organizational and administrative skills.
• Good communication and interpersonal skills.
• Detail-oriented with ability to maintain accurate records.
• Able to handle multiple tasks and meet deadlines.
• Customer- and team-oriented.
• Willing to work in an automotive dealership environment.

Responsibilities

• Provide administrative support to the Sales Team and Sales Manager.
• Prepare and process sales quotations, purchase orders, sales documents, and other related paperwork.
• Maintain and update customer information, sales records, and transaction files.
• Monitor and track sales orders, vehicle availability, reservations, and deliveries.
• Coordinate with Sales, Accounting, Finance, Operations, and other departments regarding customer and sales requirements.
• Assist in processing vehicle registration, insurance, financing, and other customer-related documents when applicable.
• Prepare daily, weekly, and monthly sales reports.
• Monitor sales targets, sales activities, and pending transactions.
• Follow up with Sales Representatives regarding incomplete documents and pending requirements.
• Assist in scheduling vehicle releases, deliveries, and customer appointments.
• Ensure that all sales documents are complete, accurate, and properly filed.
• Respond to customer inquiries and provide updates regarding sales transactions when needed.
• Assist the Sales Team in preparing presentations, reports, and other sales-related materials.
• Maintain confidentiality of customer and company information.
• Perform other duties and responsibilities that may be assigned by the immediate supervisor.
