Keep commercial insurance submissions moving, from the producer's quote request to a confirmed bind.
Our client is a US-based independent insurance agency that places commercial and personal insurance for small businesses across a broad panel of carriers. Its producers quote commercial auto, general liability, property, and package policies for small businesses such as contractors, delivery services, cleaning companies, and food businesses, and they shop each risk across several carriers to find the right fit.
You would be the person who keeps that work moving. When a producer asks for a quote, you make sure the application is complete and accurate, the submission reaches the right underwriter, every missing item is chased down, and the quote that comes back actually matches what was asked for. When a policy binds, you set it up correctly in the agency's systems and make sure every document is filed where the next person can find it.
This is a detail role with real consequences. A blank payroll field, a quote that quietly drops a coverage, or an insured told they are covered before the carrier has confirmed it are the mistakes that cost an agency money and trust. The client is looking for someone who catches those things early, writes clearly to underwriters and business owners, and keeps the producers informed without being asked.
About the Role
You report into the agency's sales team and support its producers day to day. You work inside Applied Epic, Applied Indio, Applied CSR24 and multiple carrier quoting platforms. You own the accuracy of what you enter, the follow-up on what is outstanding, and the turnaround on requests. Producers own the client relationship, coverage advice and binding decisions; you make sure they have everything they need, on time.
Key Responsibilities
Producer Support
- Assist producers with quoting and binding commercial policies, from the first quote request through to bind confirmation
- Review applications and supporting documentation (including ACORD commercial applications) for completeness and accuracy before anything goes to a carrier
- Attach emails and supporting documents to the correct client and policy records in the agency management system
- Follow up with carrier underwriters and insureds to obtain missing information, and tell the producer early when something is holding a quote
- Monitor and track outstanding quotes and policy documents so nothing sits without a next step
System & Data Management
- Set up new clients and policies in Applied Epic accurately, checking every field against the source documents
- Enter and verify data in Applied Indio and other internal systems
- Maintain organized digital files and documentation that any colleague can follow
- Perform quality checks to ensure data accuracy and compliance, including careful handling of clients' personal information
- Assist with internal workflow and system processes as the team improves how work gets done
- Communicate with carrier underwriters about missing information, quote revisions and binding confirmations
- Check every quote and revision against what the producer requested before it moves forward
- Follow up with insureds for documentation and required forms, including conditions a carrier sets at binding
- Ensure timely response and turnaround on requests from producers, carriers and clients
Required Qualifications
- 2+ years of experience in insurance agency support, working alongside producers or account managers
- Hands-on experience with carrier portals and quoting systems: submitting applications, retrieving quotes, and uploading documents yourself
- Strong administrative and data-entry accuracy: setting up and checking client and policy records against source documents

- High attention to detail on applications, quotes, binders and policy documents
- Able to work a full shift aligned with US Central business hours, which falls overnight in the Philippines

What Makes You a Great Fit
- You can describe, step by step, a commercial submission you personally took from quote request to bound policy.
- You know the difference between a producer saying "bind it" and a carrier confirming the bind, and you act on that difference.
- When an application has a blank or inconsistent field, your instinct is to get the real answer from the insured, not to fill it in.
- You compare every quote against what was requested before it moves, and you notice when a limit, deductible, or coverage has changed.
- You write follow-ups that name the account, the line, the deadline and exactly what you need, so underwriters can answer in one reply.
- Your producers know what is outstanding without having to ask you.
- You file things so that a colleague could pick up your work tomorrow without a handover.
What Success Looks Like in Your First 90 Days
- Applications reach carriers complete the first time, and underwriters stop sending them back for missing items.
- Every open quote and outstanding document has a next step and a follow-up date in the agency system.
- Quote revisions are checked against the request, and producers hear about differences from you before anyone else.
- New clients and policies are set up accurately, and documents are filed where the team expects to find them.
