About the Role Office Beacon is seeking a detail-oriented Insurance Virtual Assistant to support the daily operations of U.S.-based insurance agencies. Depending on the client assignment, this role may support Personal Lines, Commercial Lines, or both. Responsibilities may include insurance quoting, policy servicing, renewals, endorsements, documentation, client communication, billing support, past-due activities, telemarketing, and other agency operations and back-office support. The ideal candidate has direct insurance experience or relevant experience in a regulated, technical, customer-facing, or document-intensive field. Successful candidates must be accurate, adaptable, comfortable learning new systems, and able to communicate professionally with U.S.-based clients and internal teams.
Key Responsibilities Responsibilities will vary based on the candidate’s experience and client assignment and may include:
- Assist with insurance agency operations and back-office support.
- Enter and update customer, policy, and account information in an Agency Management System.
- Assist with Personal Lines and Commercial Lines quoting.
- Gather and review information required for carrier submissions.
- Prepare applications, supplemental forms, and other insurance documentation.
- Complete policy servicing requests, including endorsements and policy changes.
- Support renewal preparation, remarketing, and coverage comparisons.
- Issue Certificates of Insurance and Auto ID Cards when authorized.
- Process mortgagee, lienholder, and additional insured updates.
- Assist with policy cancellations, reinstatements, and rewrite requests.
- Request and process loss runs, claims information, MVRs, and underwriting documents.
- Review policies and supporting documents for completeness and accuracy.
- Monitor email, work queues, and assigned tasks for new requests and follow-ups.
- Document customer and policy activity according to agency procedures.
- Communicate professionally with agents, carriers, clients, prospects, and internal teams.
- Make or receive business-related calls when required by the client assignment.
- Assist with telemarketing, prospect outreach, appointment setting, or follow-up activities when assigned.
- Follow client-specific workflows, service standards, and escalation procedures.
- Maintain organized electronic files and protect confidential information.
- Assist with billing, reconciliation, or past-due-related activities when assigned.
- Create or update basic process documentation using Microsoft Word and Excel.
- Complete other insurance-related administrative responsibilities based on client needs.
Job Qualifications
Required Qualifications Candidates must meet one of the following experience requirements:
- At least one year of experience in insurance, including experience with an agency, carrier, brokerage, claims operation, or insurance-support environment; or
- At least two years of relevant experience in a regulated, technical, customer-facing, or document intensive field, such as banking, financial services, mortgage services, healthcare administration, legal services, claims, underwriting support, telemarketing, or a comparable industry.
All candidates must also demonstrate:

- Strong written and verbal English communication skills.
- Ability to understand questions and provide clear, relevant responses.

- Ability to learn technical terminology, systems, and workflows.
- Ability to manage multiple requests, deadlines, and follow-up activities.
- Experience using email and standard business applications such as Microsoft Outlook, Word, and Excel.
- Ability to follow detailed written procedures and client-specific instructions.
- Sound judgment regarding when to complete a task independently and when to elevate.
- Ability to handle confidential customer and business information.
- Ability to work independently while collaborating with remote and international teams.
- Willingness to communicate professionally with U.S.-based clients and internal teams.
- Willingness to work hours aligned with the assigned U.S. client.
Preferred Qualifications
- U.S. Property and Casualty insurance experience.
- Experience supporting an independent insurance agency.
- Knowledge of Personal Lines, Commercial Lines, or both.
- Experience supporting Employee Benefits operations.
- Experience with quoting, policy servicing, renewals, endorsements, Certificates of Insurance, loss runs, claims support, billing support, past-due activities, or insurance documentation.
- Familiarity with insurance terminology, policy documents, and agency workflows.
- Experience preparing ACORD forms and carrier submissions.
- Experience using an Agency Management System, carrier portal, comparative rater, or insurance processing platform.
- Telemarketing, prospect outreach, appointment setting, or customer follow-up experience.
- Previous experience communicating directly with U.S.-based clients or customers.
- Experience working with sensitive financial, medical, legal, policy, or customer information.
- Experience creating or following SOPs, checklists, and structured workflows.
- Experience transitioning between different client systems and workflows.
Insurance Systems Experience Experience with any of the following systems is beneficial but is not required for every assignment. Comparable system experience will also be considered.
