Job summary

Concepcion Business Services, Inc. in Metro Manila (Muntinlupa) seeks a payments specialist to manage open-item based payments, prepare check vouchers, and record disbursements to the General Ledger.

You will run payments through automated systems and upload summaries to the assigned bank, coordinating with Treasury for funding. Role also covers foreign payments documentation, ensuring approvals for all disbursements, and maintaining Continuum workflow.

Responsibilities

• Ensure that all payments to be processed are based on open items in the system.
• Create check vouchers and ensure proper recording of disbursements to GL.
• Create accurate payment advice within the specified timeframe and endorse to Treasury for funding requirements.
• Perform payment run through Automatic Payments.
• Upload payment summary for check cutting to the assigned bank
• Upload employee reimbursement and cash advance request
• Ensure all uploaded check disbursements are fully approved
• Update check Masterfile daily based on the status of checks
• Send notifications to suppliers for the check availability
• Prepare manual checks and route for signature for rush payments.
• Release check payment to authorized vendor representative and secure the corresponding official receipt
• Attach suppliers’ ARs or CRs to check vouchers and transmit the documents to Records Management Team
• Perform Account reconciliation of Suppliers’ statement of account.
• Timely update and closure of Continuum Workflow.
• For foreign payments:
• Preparation of bank forms such as Citidirect Online banking/Telegraphic Transfer
• Ensure MDA has a corresponding RGI for Open Account and Draft Against Acceptance
• Prepare Application to Purchase (APFX) based on invoice then route for approval with the required documents
• Ensure all foreign payments are fully approved and signed.
• Escalate exceptions to line manager as needed.
• Perform other tasks that may be assigned from time to time by the line manager.
