Job summary

outstaffer.ai is seeking an automation and AI specialist to transform clinic operations. You will map current workflows across front desk, admin and management, and identify automation opportunities, then design a prioritized automation roadmap.

You will build automations (booking confirmations, reminders, follow-ups), connect tools via APIs (Nookal and others), and create dashboards with Looker Studio/Power BI to present KPIs. Training and rollout support included.

Responsibilities

• Apply AI tools to real workflows in a safe, sensible way; stay current on useful AI capabilities.
• Collaborate with Manager and team to understand needs, roll out changes, and train staff on adoption.

Key responsibilities :

Discovery and business analysis

• Map how the clinic operates today - systems, tools, workflows and manual tasks across front desk, clinical admin and management - and identify where automation or AI delivers the biggest gains.
• Recommend a practical, prioritised roadmap for what to automate and improve, and in what order. Automation, integration and dashboards
• Design, build and maintain automations that remove repetitive manual work (booking confirmations, reminders, follow-ups, client re-engagement, internal handoffs).
• Connect the clinic's tools so data flows without manual re-entry, working with the practice management system (Nookal) and other platforms in use.
• Build dashboards and automated reporting that pull the right data and present KPIs and operational metrics clearly. Applied AI
• Apply AI tools (LLMs such as ChatGPT/Claude, AI assistants and agents) to real clinic workflows in a safe, sensible way, and keep the business current on genuinely useful AI capabilities. Collaboration and enablement
• Work closely with the Manager and the team to understand needs, roll out changes, and train and support people so new systems are actually adopted. Occasional / nice-to-have
• From time to time, help modernise and polish client-facing programs and resources (e.g. the tennis elbow program and coaching content) using AI. Secondary and ad-hoc, not a core focus.

Skills and experience

• Proven experience in a business, process or AI automation role.
• Hands-on with automation and integration platforms (e.g. Make, Zapier, n8n) and connecting apps via APIs.
• Able to build dashboards and automated reporting (e.g. Looker Studio, Power BI, Google Sheets).
• Practical, current experience applying AI/LLM tools to real business workflows.
• Strong business-analysis instincts - understands a process, spots the opportunity, and turns it into a working solution.
• Excellent written and spoken English; self-directed and reliable, able to turn a loosely defined goal into a delivered result.

Desirable

• Experience with practice management or CRM systems, ideally Nookal or similar allied-health platforms (Cliniko, Halaxy).
• Exposure to healthcare or a services/clinic environment; light scripting for small custom builds where off-the-shelf tools fall short. Personal attributes
