The Executive Administrator & Finance is responsible for overseeing administrative operations and finance functions, ensuring efficient day-to-day operations, financial accuracy, and compliance with company policies and regulations.
Key Responsibilities
Administrative Operations & People Administration
- Coordinate with department heads on staffing needs and performance concerns.
- Oversee daily office operations to ensure efficiency and organization.
- Maintain and organize physical and digital records for operational and legal compliance.
- Manage office logistics including deliveries, scheduling, and coordination with drivers.
- Oversee office utilities, supplies, and equipment maintenance.
- Handle communication tasks such as phone management, email coordination, and scheduling.
- Prepare and maintain administrative documents (contracts, reports, internal forms, etc.).
- Support executives and management with administrative requirements.
- Manage the employee lifecycle including recruitment, onboarding, and offboarding.
- Lead recruitment processes: job postings, screening, interview coordination, and reference checks.
- Maintain accurate attendance, timekeeping, and leave records.
- Administer payroll in coordination with company policies and external finance/accounting support.
- Ensure compliance with labor laws, contracts, and employment regulations.
- Support employee relations, engagement, and workplace culture initiatives.
Finance & Accounting Support
- Manage petty cash, including disbursement, tracking, and reconciliation.
- Prepare and process financial documents (invoices, receipts, purchase orders).
- Track expenses and assist in budget monitoring and cost control.
- Monitor accounts receivable and support timely collection of payments.
- Track accounts payable and assist in payment scheduling.
- Coordinate with external accountants/bookkeepers for financial reporting and compliance.
- Maintain accurate and audit-ready financial records and documentation.
Contracts, Compliance & Documentation
- Ensure all company contracts, employee records, and documentation are accurate and up to date.
- Enforce compliance with internal policies and external regulatory requirements.
- Support audit preparation and documentation readiness.
- Monitor adherence to company SOPs across administrative and financial processes.
Reporting & Executive Support
- Prepare regular reports on financial status, collections, expenses, and administrative performance.
- Provide structured updates to management on key operational and financial metrics.
- Support planning and tracking of cash flow, receivables, and payables.
- Assist in improving administrative, HR, and finance processes.
