Job summary

WellSouth is seeking an experienced Team Leader, Shared Support Services and Executive Assistant to the Chief Executive in Dunedin. You will lead a team across Dunedin and Invercargill and provide senior executive support to the CEO and Senior Leadership Team.

You will set the standard for shared administration, oversee governance minutes, and ensure facilities run safely and professionally, while guiding the office in a supportive, strategic way.

Qualifications

  • Significant administration experience, including leadership or supervision of an admin team.
  • Strong track record of setting direction, building capability, and applying warmth with firmness.
  • Experience leading teams through change and enabling broad buy-in.
  • Excellent written and oral communication, able to take concise governance minutes.
  • High professionalism, integrity and discretion with prioritisation skills.
  • Calm under pressure and capable of steadying others.
  • Proficient in MS Word, Excel, PowerPoint, Teams and SharePoint; open to embedding new tech.

Responsibilities

  • Lead the shared support function with professionalism, set expectations, oversee workflow, address issues early.
  • Own the portfolio model, plan cover across locations, build capability through cross-training.
  • Enable and support the Chief Executive to operate at the highest level.

WellSouth is seeking an experienced Team Leader, Shared Support Services and Executive Assistant to the Chief Executive to join our team. This is a rewarding opportunity for a senior administration professional who takes pride in doing things properly and wants that to count towards better health for our communities.

Position Purpose

In this key leadership role, you will lead WellSouth's Shared Support Services function and be accountable for the quality, consistency and resilience of administration support across the organisation. Reporting to the Chief Executive, you will set the standard for how shared support works, own the specialist portfolio model, and build a capable, confident team that every part of WellSouth can depend on.

Alongside this, you will provide senior, confidential Executive Assistant support to the Chief Executive and Senior Leadership Team.

You will lead a team of eight across our Dunedin and Invercargill offices, and oversee the WellSouth office space so it runs safely, smoothly and professionally.

What You'll Do

This is a senior, hands-on leadership role. You will:

  • Lead the shared support function with professionalism and purpose, set clear expectations, oversee workflow, and address quality or performance issues directly and early
  • Own the portfolio model, allocating work, planning cover across both locations, and building genuine capability and resiliance through cross-training and development
  • Enable and support the Chief Executive to operate at the highest level
  • Lead confidential governance administration for the Board, the Finance, Audit and Risk Committee and the Senior Leadership Team, so decisions are accurately recorded and easily traceable
  • Oversee the office, including reception, facilities, supplier and contractor arrangements, and site health and safety
About You

To be successful in this role you will have:

  • Significant administration experience, including demonstrated experience leading or supervising an administration or support team
  • A track record of leading well: setting direction, building capability, and holding people to a clear standard with both warmth and firmness
  • Experience at successfully leading a team through change and bringing people with you
  • Excellent written and oral communication skills, including the ability to take accurate and concise minutes at governance level
  • High levels of professionalism, personal integrity and discretion, and the judgement to prioritise across competing organisational demands
  • The ability to stay calm under pressure and steady those around you
  • A high level of proficiency in MS Word, Excel, PowerPoint, Teams and SharePoint, and enthusiasm for embedding new technology across a team
  • Experience in health or the wider public sector is an advantage
  • A relevant qualification, such as a Certificate in Business Administration or a degree in management or a related field, is desirable.
