Job summary

CMOS is a Kiwi-owned commercial cleaning company expanding its tech team in Auckland. We’re seeking a Systems & IT Coordinator to own the technology stack, from daily IT support and systems administration through ERP management, automation, and AI adoption as we scale.

You do not need to be a developer; you should be curious about technology, able to collaborate with external developers and internal users, and comfortable turning ideas into practical tooling.

Qualifications

  • Experience with CRM/ERP or business systems.
  • Exposure to automation tools and workflows.
  • Ability to explain technical concepts to non-technical people.
  • Interest in AI and how it can improve processes.
  • Excellent organisational skills and reliability.
  • Willingness to learn and work independently.

Responsibilities

  • Manage and improve Odoo across departments; coordinate with developers and train users.
  • Build automations using Zapier and Google Apps Script.
  • Manage Google Workspace including Gmail, Drive, Docs, and Sheets.
  • Support internal reporting and data visibility.
  • Set up and manage staff hardware and software.
  • Advise on tools, systems architecture and AI adoption.
  • Educate non-technical staff on systems usage.

CMOS is a Kiwi-owned commercial cleaning company that's been on quite a journey. Deloitte Fast 50 recognised in 2016 and more than 10x the size since then - 150+ cleaners, 650+ sites, and operations across Auckland, Wellington and Sydney. We're a small, close-knit head office team and we move fast.

We're looking for a Systems & IT Coordinator to join our Auckland team. This is a rare opportunity to own the entire technology stack of a growing company - from day-to-day IT support and systems administration through to ERP management, automation building and AI implementation. No two days are the same and the role has grown significantly since it was first created.

What You'll Actually Be Doing

This role sits across two main areas.

The majority of your time will be on backend systems and automation - managing and improving our Odoo ERP platform, working with external developers to resolve issues and implement changes, building internal automations to reduce manual workload across the business, and advising on tools, systems architecture and AI adoption as we scale. You'll work closely with our internal product owner and be the bridge between the business and our technical partners.

The remaining time covers IT administration - setting up and maintaining staff hardware and software, managing onboarding and offboarding IT processes, Google Workspace admin, dashboards and reporting, and keeping our systems secure and running smoothly.

Day to day this looks like:

  • Managing Odoo across all departments - resolving issues, coordinating with developers, leading UAT testing and user training
  • Building and maintaining automations using Google Apps Script, Zapier and Odoo
  • Managing Google Workspace including Gmail, Drive, Docs and Sheets
  • Supporting internal reporting and data visibility across the business
  • Setting up and managing hardware and software for new and departing staff
  • Managing platforms including AskNicely, Logsure, WordPress and Microsoft 365
  • Advising on AI tools and implementation as CMOS continues to grow
  • Educating and supporting non-technical staff on systems and process adoption
Who You Are

You don't need to be a developer - but you need to be comfortable talking to them, holding them accountable and understanding what they're telling you. You might be a recent graduate, someone who's been tinkering with technology your whole life, or someone early in their career who has outgrown what their current role is teaching them.

What matters most is that you're naturally curious about technology, you pick up new systems quickly and you get genuine satisfaction from making things work better than they did before.

You’ll be a good fit if you:
  • Are tech-savvy and pick up new tools and platforms quickly - you don't wait to be shown twice
  • Have some exposure to CRM, ERP or business systems - Odoo experience is a bonus but absolutely not essential
  • Have played around with automations - Zapier, Google Apps Script or similar - even in a personal project
  • Are organised and reliable - multiple systems rely on you and nothing can fall through the cracks
  • Can explain technical things simply to people who aren't technical
  • Are genuinely curious about AI and how it can make a business run smarter
  • Work well independently and take initiative without needing direction
  • No specific years of experience required - we're looking for the right person, not the right CV.
