Job summary

Abbott in New Zealand seeks a Site Administrator to provide essential administrative support across NZ sites, including front-of-house queries, staff ID management, locker control, and event coordination. you will also assist with inductions, site cleaning oversight, and procurement activities.

Based at the Pokeno plant in New Zealand, you will collaborate with facilities and IT teams to ensure efficient operations, safety compliance, and excellent service delivery.

Qualifications

  • Minimum 5 years’ experience in administrative support.

Responsibilities

  • Front of house to answer general queries and support the sites as required.
  • Assign staff ID cards across the sites and maintain the relevant records of these
  • Locker management
  • EV charger coordination including managing access and issues reported
  • Support site events as required including catering, communication collateral, diary invitations, etc.
  • Support contractor induction and maintenance of relevant inductions/sign-in technology
  • Key point of contact and support for site cleaners, escalating issues as necessary.
  • Support the site with cleaning inspections and audits
  • Purchase order creation and management as required
  • Ordering and maintenance of stationery, cleaning, café consumables, etc.
  • Ensure meeting rooms are appropriately set up, clean and stocked with necessary items
  • Log IT tickets to support new starters as required
  • Support coordination of drug and alcohol testing, health monitoring and other HR and EHS site activities
  • Courier packages, including printing of labels
  • Key point of contact and coordination for Abbott site visitors, e.g. Executive visits, project teams, etc.
  • Attend regular departmental meetings with relevant manager/supervisor to build in continuous feedback mechanisms
  • Meet the requirements of ISO by complying with all relevant Quality policies and procedures to ensure the Quality objectives of the business are met
  • Comply with all relevant company Occupational Health, Safety and Environmental policies, procedures, and work practices with the intent of preventing or minimising accidental exposures to self, colleagues and/or the environment
  • Ensure any PPE provided by Abbott is worn
  • Report any accidents or incidents within 24 hours and notify your manager
  • Ensure all activities carried out by self and others are in accordance with legislative employment policies, health & safety requirements and global policy
  • Promote a standard of excellence for quality and customer focus at Abbott

The Opportunity

As the Site Administrator, the purpose of this position is to provide administrative support to the NZ sites in support of key objectives, milestones and timelines.
