Job summary

Fusion5 is seeking a Project Operations Coordinator in Auckland to bring structure, reliability and pace to consulting engagements. You will support setup, scheduling, governance, and billing, while maintaining accurate records and stakeholder updates across multiple projects.

The role offers exposure to finance, account teams and delivery groups within a leading trans‑Tasman technology transformation partner, with a focus on collaboration and delivery health.

Qualifications

• Experience in a project coordination, PMO support or delivery operations role.
• Familiarity with project management tools and systems for project tracking and reporting.

Responsibilities

• Coordinate and administer project activities across the full lifecycle, keeping governance cadences on track.
• Support project setup and maintenance within our business systems — project records, work orders, resource allocations and billing inputs.
• Maintain accurate schedules, action registers, risk and issue logs, decision logs and dependency trackers.
• Coordinate governance activities including meeting calendars, agendas, packs, minutes and follow-up.
• Provide Consulting Managers with reliable operational visibility across multiple concurrent projects and workstreams.
• Act as a coordination point across Consulting Managers, Project Managers, Finance, Account Managers and delivery teams.
• Support monthly billing preparation and reconcile project, resource and billing information against business systems.
• Coordinate resourcing and scheduling, including onboarding and offboarding, system access and forward availability.
• Prepare and distribute project, resource, utilisation, financial and governance reporting in line with agreed cadences.
• Spot and escalation risks, blockers, missing information and overdue approvals early, with clear next steps.

We're looking for a Project Operations Coordinator to bring structure, reliability and pace to how our consulting engagements run — giving our Consulting Managers and Project Managers the operational support they need to keep delivery on track.

What you’ll be doing

You’ll be the steady hand behind our project engagements — the person Consulting Managers and Project Managers turn to for accurate, up-to-date information on resourcing, governance and delivery health. Day to day, you’ll move between project setup, reporting, financial administration and stakeholder follow-up, always looking one step ahead to keep things on track. It’s a role built on structure and follow-through, where nothing falls between the cracks.

• Experience in a project coordination, project operations, PMO support or delivery operations role
• Proven experience with project setup, scheduling, resourcing support and onboarding coordination
• Familiarity with project management tools and systems — project tracking, time recording, financial, ERP or reporting systems
• Experience supporting project governance and assurance activities, including governance packs, action registers and RAID management
• Experience coordinating across cross-functional teams including delivery, consulting management, finance and account teams
• Comfortable managing multiple priorities and deadlines across concurrent projects in a fast-paced environment
• Exposure to project financial processes — billing support, WIP tracking, credit or drawdown tracking and utilisation reporting
• Tertiary qualification in Business Administration, Project Management, Commerce or a related discipline, or equivalent practical experience
• Exposure to project management training or certifications is an advantage
