Job summary

The Wellington-based Delivery Unit within the Department of the Prime Minister and Cabinet (DPMC) is seeking a Programme Coordinator on a fixed-term or secondment basis. You will provide business, coordination and administrative support to the Director, Delivery Unit and PAG Advisor, ensuring processes and reporting are well organised and delivered on time.

You will coordinate meetings, prepare briefings and delivery reports, manage information and respond to Official Information Act requests.

Qualifications

  • Experience coordinating meetings and reporting in a government or public sector context
  • Strong organisation and attention to detail
  • Proficiency with Excel and Power BI
  • Good written and verbal communication

Responsibilities

  • Coordinate meetings, agendas, minutes, actions, correspondence and other day-to-day activities for the Delivery Unit and PAG Advisor
  • Support the preparation and coordination of briefings, delivery reports and regular progress reporting on Government priorities
  • Help manage information, records and key documents so they are accurate and accessible
  • Coordinate and track the Unit's contribution to Official Information Act requests with Ministerial Services
  • Use Excel and Power BI to support reporting processes
  • Build constructive working relationships with colleagues across DPMC and other agencies
  • Identify opportunities to improve administrative and coordination processes

Wellington-based | Fixed-term or secondment opportunity | Full-time | Until 31 March 2027 Build your coordination experience at the centre of government

Join the Delivery Unit within the Department of the Prime Minister and Cabinet (DPMC), where your coordination and organisational skills will help support the planning, implementation and reporting of key Government priorities. This is an opportunity to take on varied and meaningful work in a team that works closely with colleagues across DPMC and the wider public sector. You will work with a supportive leader and collaborative team, gaining exposure to high-priority work while continuing to build your coordination, reporting and stakeholder management experience. The opportunity is available while the current Programme Coordinator takes up a development secondment.

About the role Mō tēnei tūranga

As Programme Coordinator, you will provide business, coordination and administrative support to the Director, Delivery Unit and PAG Advisor and the wider Delivery Unit. Your work will help ensure important processes, information and reporting are well organised, accurate and delivered on time. In this role, you will:

  • Coordinate meetings, agendas, minutes, actions, correspondence and other day-to-day activities for the Delivery Unit and Policy Advisory Group
  • Support the preparation and coordination of briefings, delivery reports and regular progress reporting on Government priorities
  • Help manage information, records and key documents so they are accurate, accessible and available when needed
  • Coordinate and track the Unit's contribution to Official Information Act requests, working with DPMC's Ministerial Services team
  • Use tools including Excel and Power BI to support efficient and accurate reporting processes
  • Build constructive working relationships with colleagues across DPMC and administrative staff in other public sector agencies
  • Identify practical opportunities to improve administrative and coordination processes

The work can involve several priorities and deadlines at once, so you will need to organise your workload carefully, keep track of detail and adjust when requirements change.

What you'll bring Ngā pūmanawatanga ōu
  • Strong coordination and organisation: you can manage several priorities, deadlines and follow-up actions while maintaining accuracy and quality
  • Relevant coordination experience: you have experience in administration, programme coordination or team support, ideally in a programme or project environment. Public sector experience would be useful but is not essential
  • Clear communication: you communicate clearly and professionally, both in writing and in person, and can prepare information that is concise and easy to understand
  • Confidence with systems and reporting tools: you are comfortable using technology to organise work and improve efficiency, including familiarity with Excel and Power BI
  • Sound judgement and initiative: you identify what needs attention, follow work through, solve practical problems and know when to seek advice or elevate an issue

You will also enjoy working collaboratively and building constructive relationships with people at different levels and across different organisations. A relevant qualification is desirable, but equivalent knowledge, skills and experience will also be considered.

The salary for this role is band 15 with a range of $83,449 - $92,000 Total Remuneration (inlcuding KiwiSaver). This role is based in our Wellington office and is primarily office-based, with the team working on site five days a week. DPMC supports reasonable flexibility on a case-by-case basis, depending on the needs of the role and team. You will be required to satisfactorily complete DPMC's pre-employment checks (credit check and MoJ Criminal Record check).
