We are looking for a highly organised and proactive Personal Assistant / Plant Operations Support to join our High Volume Manufacturing team.

This is a varied and fast-paced role that provides critical support to our Plant Operations Managers and wider Operations teams. Combining executive support, coordination, reporting, and operational administration, you'll play an important role in helping our teams operate efficiently and effectively every day.

The role requires someone who enjoys building strong relationships, takes ownership, and is comfortable taking initiative to identify needs, solve problems, and drive activities forward with minimal direction. You will be confident managing multiple priorities while maintaining a high level of professionalism and attention to detail.

About the Role

In this role, you will:

  • Manage calendars, meetings, and events, including scheduling, agenda preparation, logistics, minute-taking, follow-up actions, and coordination of team events and wider Operations activities.
  • Coordinate operational reporting and administration, including the preparation and distribution of production reports, management of KPI data and operational records, and collection of information from stakeholders.
  • Provide business support services, including travel bookings, expense management, credit card reconciliation, invoice processing, One-Time-Vendor purchases, and liaison with internal and external stakeholders.
  • Support the smooth day-to-day running of Operations, including welcoming visitors, maintaining meeting rooms and office resources, coordinating CWE gown and locker processes, and ensuring a positive experience for employees and guests.
  • Identify opportunities to improve systems, processes, and ways of working, taking initiative to enhance team effectiveness and operational efficiency.
  • Provide backup support to other Operations Personal Assistants, ensuring collaboration across the team and continuity of support during planned and unplanned absences.

You'll work closely with a broad range of stakeholders across Operations, making strong communication, collaboration, and relationship-building skills essential to your success.

This is a full-time, on-site, permanent position (40 hours per week) based at our East Tamaki campus in Auckland. We are also open to considering part-time arrangements for the right candidate, with availability across Monday to Friday preferred.

About You

We're looking for someone who thrives in a busy environment and enjoys supporting leaders and teams to achieve their goals. You will be naturally proactive, able to anticipate needs, and motivated to take initiative to keep things moving and deliver great outcomes.

To be successful in this role, you'll bring:

  • At least three years' experience in a Personal Assistant, Executive Assistant, Team Coordinator, or similar administrative support role.
  • Excellent organisational and time-management skills, with the ability to manage competing priorities.
  • Exceptional attention to detail and a commitment to delivering high-quality work.
  • Strong proficiency in Microsoft Office applications.
  • Fast and accurate administration and document management skills.
  • Strong written and verbal communication skills.
  • A proactive approach, strong initiative, and the confidence to take ownership, anticipate needs, and follow tasks through to completion with minimal supervision.
  • The ability to identify opportunities, anticipate challenges, and take initiative to improve processes and support business objectives.
  • The ability to build positive working relationships across a wide range of stakeholders.

It would be advantageous if you also have:

  • Experience with ERP systems.
  • Accounts or invoice processing experience.
  • Knowledge of Fisher & Paykel Healthcare and our products.
