Job summary

Trade Depot is seeking an organized, proactive Parts Coordinator to own our spare parts operation, improve processes, and support a fast-growing service team in New Zealand. The role directly impacts customer satisfaction, technician productivity, and business performance.

You’ll establish best-practice procedures for ordering, receiving, storing, tracking, and issuing parts while collaborating with technicians and suppliers to ensure timely availability and accurate dispatch of parts.

Qualifications

  • Experience in inventory management and warehouse coordination.
  • Experience with purchasing, supplier relationships, and stock control.
  • Strong organizational skills and exceptional attention to detail.
  • Experience developing or improving inventory systems, processes, and procedures.

Responsibilities

  • Develop and maintain a scalable spare parts management system for the service department.
  • Manage full spare parts inventory lifecycle, stock levels and min/max quantities.
  • Conduct regular stocktakes, cycle counts, and coordinate with technicians.
  • Build strong supplier relationships and monitor supplier performance and pricing.
  • Identify opportunities to improve purchasing efficiency and reduce costs.

What You'll Be Doing
Lead Our Spare Parts Function
  • Develop and maintain an efficient spare parts management system that supports our expanding service department.
  • Establish best-practice processes for ordering, receiving, storing, tracking, and issuing parts.
Inventory Management & Stock Control
  • Manage the full spare parts inventory lifecycle.
  • Monitor stock levels and maintain appropriate minimum and maximum quantities.
  • Implement replenishment processes to minimise shortages and excess stock.
  • Conduct regular stocktakes and cycle counts to ensure inventory accuracy.
  • Work closely with technicians and service teams to ensure parts are available when needed.
  • Help reduce service delays through effective planning and coordination.
  • Ensure fast and accurate identification and dispatch of required parts.
  • Build strong supplier relationships to secure competitive pricing, quality products, and reliable supply.
  • Manage purchasing activities and monitor supplier performance.
  • Identify opportunities to improve purchasing efficiency and reduce costs.
  • Analyse usage trends and demand patterns to improve forecasting.
  • Recommend and implement process improvements.
  • Identify opportunities to increase operational efficiency, reduce waste, and improve service outcomes.

  • Maintain high inventory accuracy and availability

  • Become the go-to expert for all spare parts coordination activities
About You

We're looking for someone who enjoys solving problems, creating order from complexity, and continuously improving the way things are done.

You will bring:
  • Proven experience in inventory management, warehouse coordination, parts coordination, purchasing, or a similar operational role.
  • Experience within appliance, automotive, engineering, manufacturing, logistics, or service industries would be highly advantageous.
  • Strong organisational skills and exceptional attention to detail.
  • Experience developing or improving inventory systems, processes, and procedures.
  • Sound knowledge of stock control, forecasting, replenishment, and purchasing principles.
  • Strong computer skills, including inventory management systems and Microsoft Office.
  • Excellent communication skills and the ability to work effectively with technicians, suppliers, warehouse teams, and management.
  • A proactive mindset with a passion for efficiency and continuous improvement.
  • Strong problem-solving and analytical capabilities.
  • The ability to prioritise and thrive in a fast-paced environment.
