Job summary

EcoZip Adventures on Waiheke Island, Auckland, seeks an experienced Operations Coordinator on a fixed-term basis through April 2028, with potential for extension. You will coordinate daily operations, manage administration, and support our guides, equipment teams, and management to deliver outstanding guest experiences.

This full-time role includes weekend shifts in a 7-days-a-week operation, aims to maintain high standards, ensure health and safety compliance, and improve efficiencies through

Qualifications

  • Proven experience in operations coordination or a similar administrative role.
  • Strong organisational and multitasking abilities to manage multiple priorities.
  • Excellent written and verbal communication with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and experience with booking/ops management software.
  • Exceptional attention to detail and record-keeping.
  • Problem-solving mindset with independent decision-making.
  • Genuine interest in sustainability and environmental conservation.
  • Flexibility to work in a dynamic environment.
  • Strong customer service orientation.

Responsibilities

  • Coordinate and schedule tours, activities, and experiences to ensure optimal resource allocation and customer satisfaction.
  • Manage bookings, reservations, and customer communications using our management systems.
  • Maintain detailed records of operations, inventory, equipment maintenance logs, and compliance documents.
  • Liaise between administrative staff, guides, equipment teams, and management for seamless daily operations.
  • Prepare operational reports and analyse data to identify efficiencies and improvements.
  • Assist with health and safety compliance, including risk assessments and incident reporting.
  • Manage supplier relationships and procurement of equipment and materials.
  • Support training and onboarding of new staff members.
  • Handle invoicing, expense tracking, and financial record-keeping.
  • Respond to customer enquiries and resolve operational issues promptly.

About the role

We are seeking an experienced Operations Coordinator to join our team at EcoZip Adventures on a fixed term basis, to April 2028; with the opportunity to extend to a permanent role. This is a full-time position based on Waiheke Island, Auckland, offering an exciting opportunity to be at the heart of our operations. The Operations Coordinator will play a vital role in ensuring the smooth and efficient running of our adventure tourism business. You will be responsible for coordinating daily operations, managing administrative functions, and supporting our teams to deliver outstanding customer experiences. As we're a 7-days-a-week operation, this role will include weekend working as part of a shift or roster process. This role is essential to maintaining the high standards that EcoZip Adventures is known for.

Key responsibilities

  • Strong customer service orientation with a commitment to supporting positive guest experiences
  • Preferred: Experience in the outdoor recreation or tourism sector and familiarity with Waiheke Island
