Job description

We are looking for a practical, organised and accountable person to take ownership of the systems that keep FLSSH moving.

At its core, this role is about keeping our people safe, our fleet road-ready and our compliance records current. You will oversee our fleet servicing and documentation, staff training and inductions, purchasing administration, supplier relationships and key operational reporting. These are all housed in their respective software to help stay organized.

The role is broad by design. Once you have the fundamentals under control, there are three genuine pathways available depending on your strengths and ambitions.

Three pathways—where could you take the role?
Pathway 1: Keep things rolling

You may be someone who takes real pride in running a tight ship.

This pathway is about maintaining strong, dependable systems across compliance, fleet, staff records and purchasing. You will keep deadlines visible, records accurate and nothing falling through the cracks.

There is no pressure to turn the role into something bigger. Consistently doing the job properly and keeping the operation moving is valuable in itself.

Pathway 2: Grow into procurement and purchasing

You could help us build the foundations of a more structured procurement function.

This pathway involves improving how we purchase and manage consumables, uniforms, tools of trade and other operational supplies. You will help create better visibility over spending, strengthen supplier relationships, improve stock controls and introduce sound purchasing processes.

You will still maintain oversight of our core compliance responsibilities, but your longer-term focus will increasingly shift towards procurement, cost control and value.

Pathway 3: Grow into health, safety and quality

We have created significant momentum in health and safety, and you could help us take the next step.

This pathway involves strengthening our health and safety systems, maintaining the processes that support our ISO 45001 standard and continuing to improve incident management, audits, training, policies and reporting.

Over time, you may also help us develop the foundations required to work towards ISO 9001. You will retain involvement in purchasing and procurement, but health, safety and quality will become your primary area of development.

What you’ll be doing
  • Managing and maintaining H&S records, including incident reporting, personnel records (Training and Inductions)
  • Supporting Health & Safety meetings, audits, documentation and reporting
  • Maintaining the systems and records required by our ISO 45001 standard
  • Ensuring vehicles and trailers have current registrations, COFs, WOFs and servicing
  • Coordinating fleet maintenance, repairs, inspections and condition reporting
  • Keeping EROAD and other operational systems accurate and current
  • Managing staff inductions, training records, licences and accreditations
  • Supporting purchasing for consumables, uniforms and tools of trade
  • Monitoring stock levels, consumption, supplier performance and expenditure
  • Identifying practical improvements and following them through to completion
  • Working closely with Operations and Dispatch across our branch network
What we’re looking for

You do not need to arrive as an expert across every area. We are looking for someone who can take ownership of the core role and has the potential to grow in the direction that suits them.

You will bring:

  • Strong organisation and attention to detail
  • Ability to work with a wide range of personalities – team members, contractors, managers and suppliers
  • A practical approach and consistent follow-through
  • Confidence managing records, deadlines and multiple systems
  • The ability to identify risks and resolve issues before they become problems
  • Clear written and verbal communication
  • Good judgement when balancing compliance, cost and operational priorities
  • A willingness to stand and own your work

Experience in health and safety, compliance, procurement, fleet administration or operational support would be valuable. Familiarity with Donesafe, EROAD or ISO management systems would be helpful but is not essential.

Benefits
  • A role you can genuinely shape around your strengths
  • Three clear development pathways
  • Exposure to a wide range of business operations
  • Professional development and training opportunities
  • A supportive team that values initiative and accountability
  • Competitive remuneration based on experience
  • The opportunity to make a visible difference in a growing New Zealand business
