Job summary

Pushpay, a fast-growing Kiwi-founded SaaS company, invites an Office Coordinator to join our Auckland CBD team. You will oversee daily office operations, collaborate with NZ and US teams, and support HR and IT for onboarding and administrative tasks.

You will contribute to a positive workplace culture through event planning, vendor management, and health and safety initiatives, while maintaining confidentiality and professional standards.

Qualifications

  • Past experience in an office management (or similar) role.
  • Strong organisational and time management skills.
  • Ability to work independently, as well as in a team environment.
  • Maintain confidentiality and high degree of ethical standards at all times.
  • Good interpersonal, oral and written communication skills.
  • Intermediate MS Office or Google Suite skills.
  • Project coordination.

Responsibilities

  • Office Administration: Manage day-to-day office operations including answering phones, managing our visitor system, overseeing deliveries and maintaining office supplies, equipment and swag.
  • Facility Management: Ensure the office is well-maintained, clean, and safe for all employees.
  • Vendor Management: Maintain relationships with vendors and suppliers, and handle some local procurement and inventory management.
  • Collaborate with local and international team members to support initiatives across our NZ and US offices.
  • Communication: Serve as a point of contact for employees and visitors, and ensure efficient communication within the office.
  • Event Coordination: Assist in planning and organizing company events, meetings, and team-building activities to promote a positive workplace culture (occasionally offsite).
  • Social Engagement: Develop and implement initiatives that encourage social interaction among employees, such as organizing social events, celebrations, and wellness activities.
  • Champion Health and Safety: Help lead our local health and safety committee and ensure health and safety are maintained across the office
  • Supporting administrative needs of local leaders eg. preparing meeting materials, travel coordination and light project management
  • HR Support: Assist the People and IT departments in recruiting and onboarding new employees, offboarding departing employees and other HR-related tasks.
  • Ad Hoc Projects: Support various teams with special projects and tasks as needed.
  • Good interpersonal, oral and written communication skills

The Office Coordinator is dedicated to providing exceptional service by overseeing all office related support and operations, and supporting local leaders, IT, People, and other internal departments and teams to foster a positive and efficient workplace and culture. The Office Coordinator may also provide administrative/project support for the local leaders and internal departments, as required.

Report to: Manager, Site Operations

Supervises: No supervisory responsibilities.

Main activities:
