We are seeking an experienced and professional Medical Administrator to join our practice and support the smooth and efficient running of our clinic.

As a Medical Administrator, you will play a pivotal role in ensuring seamless administrative operations, maintaining excellent patient communication, and supporting our surgeons and clinical team. You will be responsible for managing patient appointments, maintaining accurate records, coordinating pre- and post-operative care, and delivering exceptional service to patients and their families.
This position requires a high level of professionalism, reliability, and attention to detail. It is not an entry-level role. A minimum of two years previous medical administrative experience is required.
Process referrals and schedule clinic appointments.
Coordinate patient bookings with surgeons and other healthcare providers.
Ensure timely and clear communication to patients regarding appointments and surgical planning.
Provide warm, professional customer service to all patients and visitors.
Front orthopaedic clinics, manage waiting room flow, and set appropriate patient expectations.
Address patient queries and concerns promptly and professionally.
Maintain accurate patient records in accordance with privacy and clinical standards.
Manage forms, documentation, and general administrative tasks.
Respond to email and phone enquiries efficiently.
Assist in organising pre-operative and post-operative processes.
Ensure a smooth patient journey by coordinating information between patients, surgeons, and the wider clinical team.
Work closely with surgeons, nurses, the Practice Manager, and other team members to support high-quality care delivery.
Contribute to a positive, collaborative, and professional practice environment.
2+ years of proven experience in a healthcare administrative or medical reception role.
Strong organisational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency with Microsoft Office, Outlook, and electronic medical record systems.
Knowledge of medical billing processes and insurance-related procedures.
Ability to work effectively in a fast-paced specialist environment.
Accurate and efficient keyboard skills.
Demonstrated reliability and consistent attendance.
Eligibility to work in New Zealand.
Onsite role only – no work-from-home option.
Mandatory NZ Police vetting (due to working with patients under 16).
Credit check.
Minimum of two professional references.
High level of professionalism and personal presentation.
Strong attention to detail and accuracy.
