Job summary

Dentons in Auckland, New Zealand, is seeking a Leadership Support Coordinator to provide high‑level executive support to the CEO and leadership team. You will coordinate board papers, manage calendars, and oversee confidential document processes while coordinating travel and events.

Qualifications

  • Experience in a Personal Assistant, Legal Secretary, Executive Assistant, or senior administrative support role.
  • Exceptional organisational skills and ability to manage multiple priorities.
  • Professionalism, integrity and discretion with confidential information.
  • Excellent written and verbal communication skills.
  • Advanced Microsoft Office skills (Outlook, Word, Planner).
  • Proactive, initiative-taking and anticipates needs.

Responsibilities

  • Manage the CEO’s diary, inbox and key priorities, ensuring deadlines and commitments are coordinated.
  • Coordinate the preparation and collation of Board and Management Team papers, agendas and supporting documentation.
  • Schedule and support Board, Management Team, committee and leadership meetings, including minute-taking and tracking follow-up actions.
  • Oversee the Word Processing function to deliver high-quality document support services.
  • Prepare, coordinate and distribute Board papers, reports, presentations and correspondence.
  • Maintain document management, filing and record-keeping for the CEO and leadership team.
  • Coordinate domestic and international travel arrangements for the CEO and Management Team.
  • Support partner events and leadership workflows across the team.
  • Act as a key point of contact for senior stakeholders with discretion and professionalism.

The role

Reporting to the Chief Executive, The Leadership Support Coordinator is a trusted and key role at the centre of the Firm’s leadership and governance activity. You will work closely with the Chief Executive, Board, Partnership and Management Team to ensure key priorities, governance processes, business papers, meetings and follow-up actions are coordinated effectively. The role requires strong judgement, discretion, organisation and the ability to work confidently across senior stakeholders.

Day to day, you will:
  • Manage the CEO’s diary, inbox and key priorities, ensuring deadlines, commitments and competing demands are effectively coordinated and managed.
  • Coordinate the preparation and collation of Board and Management Team papers, agendas and supporting documentation.
  • Schedule and support Board, Management Team, committee and leadership meetings, including minute-taking and tracking follow-up actions where required.
  • Oversee the Word Processing function to ensure the delivery of high-quality, timely and professional document support services across the Firm.
  • Prepare, coordinate and distribute Board papers, reports, presentations, correspondence and other business documentation.
  • Maintain document management, filing and record-keeping processes for the CEO and leadership team.
  • Coordinate domestic and international travel arrangements for the CEO and Management Team.
  • Support partner events, partnership meetings, critical dates management and agreed administrative workflows across the leadership team.
  • Act as a key point of contact for senior stakeholders, ensuring a high standard of professionalism, discretion and confidentiality in all interactions.
To be successful in this role, you will bring:
  • Previous experience in a Personal Assistant, Legal Secretary, Executive Assistant, or senior administrative support role
  • Exceptional organisational skills and the ability to manage multiple competing priorities.
  • A high degree of professionalism,integrityand discretion when handling confidential and commercially sensitive information.
  • Excellent communication skills, both written and verbal.
  • Advanced Microsoft Office skills, particularly Outlook, Word, Microsoft Planner
  • A proactive approach, stronginitiativeand the ability toanticipateneeds before they arise.
  • Strong relationship-building skills and a collaborative approach to working with stakeholders at all levels.
