Job summary

Good Shepherd NZ is seeking a Finance and Administration Manager to strengthen financial controls and administrative infrastructure across a small NGO. You will drive robust processes, lead payroll, budgeting and reporting to support the organisation’s mission.

You will bring proven bookkeeping and accounts management skills, NZ payroll experience, and strong ICT capability to collaborate with senior management and governance boards.

Qualifications

  • Proven experience in bookkeeping and accounts management.
  • Experience with NZ payrolls (PAYE, KiwiSaver, Holidays Act compliance).
  • Strong ICT skills and proficiency with accounting software.

Responsibilities

  • Maintain financial policies, controls and procedures for a small NGO.
  • Oversee accounts payable/receivable, reconciliations and general ledger maintenance.
  • Ensure fortnightly payroll is processed accurately and on time.
  • Prepare monthly budget reports for CE and Board and reports for funders.
  • Coordinate external audits and year-end accounts.
  • Oversee HR administration and maintain staff records.

The Finance and Administration Manager is a pivotal role in our small team. You will ensure Good Shepherd NZ has the robust processes, systems and infrastructure needed in finance and organisational administration so we can deliver on our mission effectively. As a senior manager, you will play an important role in the culture, development and sustainability of the organisation.

Key responsibilities
  • Maintain and strengthen financial policies, controls, and procedures appropriate to a small NGO, and ensure our people have the capability to implement these effectively.
  • Responsible for accounts payable and receivable income, reconciliations, authorisations and general ledger maintenance.
  • Ensure fortnightly payroll is effectively executed on time, including that PAYE, KiwiSaver, and leave calculations are accurate.
  • Prepare monthly budget reports and insights for the CE and Board.
  • Prepare budget reports for funders.
  • Establish and maintain an effective system for managing public donations.
  • Support the CE in budget preparation, forecasting, monitoring and insights.
  • Coordinate the annual external audit, including preparation of information for year-end accounts and audit schedules.
  • Ensure compliance with legal obligations, including filing returns and maintaining clear records.
  • Oversee human resource (HR) administration support including maintaining employee records and registers, checking leave systems, working with line managers on onboarding and offboarding of staff, and ensuring the employee handbook is up to date.
About you
  • Proven experience in bookkeeping and accounts management, ideally in the NGO, community, or public sector.
  • Proficiency with Xero, similar accounting record keeping software or Excel.
  • Experience with payroll processing in New Zealand (PAYE, KiwiSaver, Holidays Act compliance).
  • Strong attention to detail and a commitment to accuracy.
  • Highly proficient in ICT.
  • Excellent organisational skills with the ability to manage competing priorities in a small-team environment.
  • Confident communicator — able to present financial information clearly to non-finance colleagues and governance boards.
  • A proactive, solutions-focused approach and willingness to take initiative.
  • Problem solver and strategic thinker.
