Aotearoa New Zealand Association of Social Workers is seeking an Entry Level Facilities Manager to support our property management team in Auckland. You will coordinate maintenance, manage contractors, and keep tenants informed about upcoming works.
The role focuses on building compliance, BWOF tracking, and accurate documentation, with scope to grow into broader commercial property responsibilities within our experienced team.
We are seeking a proactive and detail-oriented Entry Level Facilities Manager to assist our property management team. The Facilities Manager will be responsible for overseeing all aspects of property maintenance of our portfolio, including arranging repairs, tracking progress, managing contractors, and communicating with tenants regarding upcoming maintenance activities. This role will play a crucial part in ensuring that our properties are well-maintained and that our clients receive the highest level of service.
Key Responsibilities:
Coordinate maintenance activities for our properties, including scheduling repairs & maintenance, tracking progress, and ensuring timely completion.
Managing relationships with contractors and suppliers.
Communicate with tenants regarding upcoming maintenance activities, ensuring they are informed and prepared.
Oversee portfolio building compliance requirements, including tracking BWOFs, coordinating required inspections, and ensuring documentation is current and accurately recorded.
Monitor and update supplier insurance information in our management system (Re-Leased), ensuring all necessary documentation is on file.
Assist Property Managers during property inspections and assisting with CAPEX projects.
Manage invoice processing for the property portfolio, ensuring costs are accurately reviewed, coded, approved, and recorded in a timely manner.
Qualities/Qualifications:
Previous or similar experience in related field is preferred, or a Property Graduate.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to multitask and prioritize tasks effectively.
Building compliance and BWOF knowledge is advantageous but not essential.
Work Schedule:
This is a full-time, office-based role, with standard hours of 8:30am to 5:00pm. Some flexibility is available where needed.
There is also scope for the role to grow over time, with opportunities to take on additional responsibilities and a clear pathway to develop into other Commercial Industrial Property roles, supported by our experienced team.
