Qualifications

Executive Assistant - Whanganui Hospital | Permanent Fulltime

About the Role

As the Executive Assistant to the Group Director Operations, Hospital and Specialist Services, you will provide high-quality, confidential executive support and governance coordination within a dynamic and complex healthcare environment.

This is a pivotal role that supports the effective management of executive priorities through strong coordination, sound judgement, relationship management, and a proactive approach to anticipating business needs.

You will be responsible for managing executive diaries and correspondence, coordinating governance and leadership meetings, maintaining action and decision registers, supporting key organizational processes, and ensuring the smooth running of the Group Director Operations office.

Success in this role requires exceptional organizational skills, discretion, initiative, and the ability to build trusted relationships with a wide range of stakeholders across the organization.

About the Team/Service/Location

The Executive Assistant role sits within the Office of the Group Director Operations and provides support to the Group Director Operations, Hospital and Specialist Services, as well as governance support to the Local Leadership Team.

Working closely with executive leaders, clinical teams, operational managers, and enabling services, you will play a key role in supporting effective decision-making, organizational coordination, and service delivery across Health New Zealand | Te Whatu Ora Whanganui.

About You

As an experienced Executive Assistant, you will bring:

  • Significant experience supporting a senior executive or leadership team in an Executive Assistant or equivalent role.
  • Experience working within a large and complex organization.
  • Exceptional verbal and written communication skills, including preparation of executive-level correspondence, reports, and meeting documentation.
  • Proven ability to exercise initiative, sound judgement, and professionalism when managing competing priorities and confidential information.
  • Advanced skills in Microsoft Office, Teams, SharePoint, and document management systems.
  • Strong organizational and planning skills, with the ability to anticipate needs and deliver results in a fast-paced environment.
  • Excellent relationship management skills and the ability to work effectively with stakeholders at all levels.
  • An understanding of, or willingness to develop knowledge of, Te Tiriti o Waitangi, Te Ao Māori, and culturally responsive practices.
