Job summary

Civil Aviation Authority of New Zealand is seeking a proactive Coordinator, Resolutions to center coordinating responses to complaints, Official Information Act and Privacy Act requests, and ministerial correspondence. You will log and track requests, monitor deadlines, and support the Resolutions and Legal teams to maintain robust records.

This 12‑month secondment offers exposure across oversight bodies, opportunities to improve systems, and close collaboration with a wide range of stakeholders

  • Experience providing administrative or coordination support.

Responsibilities

  • Coordinate the day-to-day administration and operation of the Resolutions team.
  • Triage and manage incoming requests, complaints, and enquiries.
  • Ensure requests are accurately logged, assigned, and tracked.
  • Monitor deadlines and escalated risks to ensure statutory timeframes are met.
  • Maintain accurate records and ensure information is stored appropriately.
  • Support responses to inquiries from oversight and review bodies.
  • Develop strong working relationships with stakeholders across CAA.
  • Assist with onboarding and training team members on systems and processes.
  • Prepare reports and undertake routine analysis to support decision-making.
  • Identify and implement improvements to systems, processes, and ways of working.

About the Role

As Coordinator, Resolutions, you'll be at the centre of work that helps CAA respond effectively to complaints, Official Information Act and Privacy Act requests, ministerial correspondence, and other regulatory matters. Working closely with the Resolutions and Legal teams, you'll coordinate workflows, maintain robust records, monitor timeframes, and ensure requests are managed efficiently and professionally. This is an opportunity to contribute to transparency, accountability, and public trust while supporting the smooth delivery of important organisational outcomes.

Please note this is a 12 month secondment.

Key Responsibilities

The salary band for this role is $65,340 - $79,560 Starting salaries are based on knowledge, skills and experience the successful candidate brings to the role, as well as internal relativities.

You’ll be an organised and customer-focused coordinator who thrives in a fast-paced environment. You’ll enjoy keeping things running smoothly behind the scenes, building positive relationships with a wide range of stakeholders, and ensuring important work is delivered accurately and on time.

To succeed in this role you’ll demonstrate:

  • Experience providing high-quality administrative or coordination support.
  • The ability to manage competing priorities in a high-volume environment.
  • Strong organisational skills with excellent attention to detail.
  • A proactive approach to tracking work and meeting deadlines.
  • Confidence communicating with a wide range of stakeholders.
  • Experience maintaining accurate records and managing information effectively.
  • Sound judgement and discretion when handling sensitive information.
  • Strong Microsoft Office skills and the ability to learn new systems quickly.
  • An eye for continuous improvement and process optimisation.
  • Knowledge of the Official Information Act or Privacy Act, or the ability to quickly develop this expertise.
