Health New Zealand | Te Whatu Ora is seeking a Clinical Records Manager to provide operational leadership across our clinical records services. You will lead Team Leaders, ensure high-quality service, and oversee privacy, retention, and health information requirements.

This senior role supports digital transformation and drives continuous improvement in documentation and data quality across inpatient, outpatient, and offsite/archival services.

Qualifications

Responsibilities

  • Monitor service performance, turnaround times, quality indicators, and workflow efficiency.
  • Ensure clinical records are available for patient care, audits, reporting, and legal requirements.
  • Coordinate audits, quality checks, and corrective actions.
  • Work with clinical teams to improve documentation, data accuracy, and record-keeping practices.
  • Lead continuous improvement initiatives across clinical records services.
  • Support scanning, electronic records, digital transformation, and service redesign projects.

Are you an experienced health information or clinicalrecords professional with strong leadership skills? We are seeking a ClinicalRecords Manager to provide operational leadership across our clinical recordsservices and ensure health information is managed safely, accurately, andefficiently.

This is a key leadership role supporting the HealthInformation Manager and overseeing day-to-day clinical records operationsacross inpatient, outpatient, and offsite/archival services.

About the Role

As the Clinical Records Manager, you will lead the TeamLeaders and provide oversight of clinical records functions across theorganisation. You will ensure consistent standards, effective workflows,high-quality service delivery, and compliance with privacy, security,retention, and health information requirements.

You will work closely with clinical and operational teams to improve documentation and data quality, support digital transformation, andidentify opportunities to make clinical records processes more efficient andeffective.

Key Responsibilities
  • Provideday-to-day operational leadership and oversight of clinical recordsservices.
  • Lead,coach, and support the Team Leaders to deliver consistent, high-qualityservices.
  • Overseethe management, availability, security, and integrity of physical andelectronic clinical records.
  • Monitorservice performance, turnaround times, quality indicators, and workflowefficiency.
  • Ensureclinical records are available in a timely manner for patient care,audits, reporting, and legal requirements.
  • Manageoperational issues and escape risks appropriately.
  • Supportrecruitment, workforce planning, onboarding, performance management, andstaff development.
  • Ensureclinical records processes comply with privacy legislation, healthinformation standards, retention requirements, and organisationalpolicies.
  • Coordinateaudits, quality checks, and corrective actions.
  • Workwith clinical teams to improve documentation, data accuracy, andrecord-keeping practices.
  • Leadcontinuous improvement initiatives across clinical records services.
  • Supportscanning, electronic records, digital transformation, and service redesignprojects.
  • Workcollaboratively with the Health Information Manager and wider teams todeliver strategic priorities.
About You

You will be an experienced and confident leader who canbalance operational demands with a strong focus on quality, compliance, andservice improvement. You will enjoy developing people, solving problems, andworking collaboratively with a wide range of stakeholders.

  • Significantexperience in clinical records, health information management, or arelated field.
  • Provenleadership experience within a health or information managementenvironment.
  • Experiencemanaging teams and leading change and improvement initiatives.
  • Strongunderstanding of privacy legislation, health information standards, andrecords management requirements.
  • Excellentorganisational, communication, and problem-solving skills.
  • Abilityto manage competing priorities and work effectively in a complexenvironment.
  • Strongcommitment to confidentiality, accuracy, and information security.
  • Demonstratedability to build effective relationships with clinical and operationalstakeholders.
  • Relevanttertiary qualification in Health Information Management, HealthAdministration, Records Management, or equivalent experience.
  • Eligibilityfor membership of a recognised health information or records managementprofessional body.
  • Experiencewith electronic health records, scanning, data quality, or digitaltransformation initiatives.
