Job summary

Tiny Voices Napier is looking for a friendly Centre Administrator who also assists as teacher support. This permanent role is 24 hours across three days, with duties spanning everyday centre operations and classroom support to create a warm, nurturing learning environment for tamariki aged 0–5.

Join a collaborative team dedicated to open communication with whanau, strong administrative systems, and professional development opportunities. Basic Xero knowledge preferred.

  • Ability to maintain records and reports.

Responsibilities

  • Warmly welcome tamariki, whanau and visitors with professionalism.
  • Maintain meticulous records and provide regular reports on staff hours and attendance.
  • Handle invoicing, banking, reconciliation and credit management with accuracy.
  • Prepare enrollment packs and manage the Centre email inbox.
  • Oversee office equipment maintenance and payroll-related tasks.
  • Support kaiako in classrooms to create a nurturing learning environment.

Standing proud close to our city centre, Tiny Voices Napier is a privately owned and operated early learning centre. We provide high-quality care and education for tamariki aged from 0 to 5 years in a beautiful, purpose-built environment.

We are seeking a dynamic individual to join our team. This is a unique and varied role which combines both working as a centre administrator and occasionally as a teacher support in our classrooms, the best of both worlds. In your administrator capacity you will be at the heart of our Centre's operations! Working alongside our dedicated Centre Manager, you'll play a crucial role in ensuring the smooth day-to-day functioning of our facility. Collaborate with a supportive team to create a nurturing environment for our tamariki. Your exceptional interpersonal skills will shine as you deliver outstanding service, fostering respectful relationships with tamariki, whanau, visitors, and kaiako. Key Responsibilities
  • Warmly welcome tamariki, whanau, and visitors to the center, creating a positive first impression.
  • Maintain meticulous records and provide regular reports on various aspects including staff hours, tamariki attendance, purchasing, and expenses.
  • Handle invoicing, banking transactions, daily reconciliation, and credit management with precision.
  • Prepare enrollment and information packs efficiently to facilitate smooth transitions for new families.
  • Oversee the repair and maintenance of computer and office equipment to ensure uninterrupted operations.
  • Ensure accurate recording of new enrollments and facilitate account setup seamlessly.
  • Manage WINZ payments, liaising effectively with the local WINZ office for smooth processing.
  • Management of payroll, forecasting, and facilitating financial audits.
  • Monitor the annual budget and provide detailed budget reporting as required.
  • Champion health and safety practices for self, staff, tamariki, whanau, and visitors.
  • Address whanau inquiries promptly and professionally to provide excellent customer service.
  • Maintain the organization of the Centre email inbox to ensure timely responses.
  • Coordinate the Centre waiting list in consultation with the Center Manager to optimise resource allocation.
Teacher Support Responsibilities
  • In your teacher support capacity, you will be required to assist kaiako in the classroom, providing a warm, nurturing, and safe environment that encourages the holistic development of the whole child. We value kaiako as co-researchers and co-constructors in the learning process, allowing children to explore, question, reflect, problem solve, theorise, and encourage self-expression. Tamariki learn best when they engage in experiences that they are interested in.
  • You will need to hold a respectful image of tamariki as confident and competent learners and value each child as an individual. We believe that play is central to learning and development and provide opportunities that are rich in play and rich in experience. You will contribute to an environment that encourages tamariki to develop their capabilities and interests at their own pace and according to their individual needs.

Previous experience in childcare is preferred, along with basic knowledge of Xero and other operating systems. This is a permanent role working 24 hours over three days a week between the hours of 8am-5pm. There is flexibility in this role which can be discussed within the interview process.
